Customer Service Specialist - Onsite Position

We have an exciting opportunity for a Customer Service Specialist to join our world-class organization in Ottawa, ON.

You will serve a global customer base alongside the Program Management team, acting as the primary interface to designated customers and internal stakeholders to provide the best customer experience possible.

Location: Ottawa, ON - Onsite Position
Your Responsibilities
  1. Manage customer deliverables, ensuring timely and accurate status updates from receipt to shipment.
  2. Accurately and promptly enter complex customer purchase orders, including fresh lot and repair orders.
  3. Collaborate with Planning and Finance Teams to ensure product availability within expected lead times.
  4. Track and expedite internal Contract Reviews and Order Acknowledgement/Acceptance.
  5. Administer the Order Management Desk inbox and purchase order log in MS SharePoint.
  6. Coordinate customer approvals for Broker by Approval for COTS products.
  7. Partner with Program Management and LifeCycle Services teams to support customer reports and deliverables.
  8. Act as the first point of contact for day-to-day customer issues, liaising between the customer and internal departments.
  9. Communicate customer order details to internal teams to meet requirements, including End User Statements, Broker by Approval, PO Amendments.
  10. Work closely with Program Management to ensure customer satisfaction and support activities.
  11. Participate in customer conference calls and meetings, standing in for Program Managers as needed.
  12. Escalate issues to Program Management and Supervisors as necessary.
  13. Inform customers of changes to contractual delivery dates and work collaboratively to adjust schedules.
  14. Attend internal meetings to identify and mitigate risks to on-time delivery.
Qualifications

  • Strong collaboration, problem-solving, and process improvement skills.
  • Superior communication, decision-making, and teamwork abilities.
  • Motivated, with the ability to coordinate tasks across multiple groups and sites.
  • Proficiency in MS Office, MRP, and CRM systems (SAP or Pivotal knowledge is a plus).
  • Negotiating skills are an asset, aiming for a win-win outcome.
  • Understanding of ITAR processes and export restrictions.
  • Bachelor’s Degree or equivalent experience.
  • Experience in Order Management or customer service-related roles.
