Job Details

Location : Markham, ON

Job type : Full-time, Permanent, and On-site position

As a Customer Service Specialist within our Materials Sales Group, you will support all aspects of the customer lifecycle, including handling inquiries, processing orders, coordinating delivery and invoicing, and providing after-sales support. This role requires timely, clear communication with clients, sales teams, and supply chain partners, delivering exceptional service with a positive attitude.

Responsibilities
  • Act as the primary contact for customers, responding promptly to inquiries, resolving issues, and ensuring a positive client experience.
  • Manage the quote-to-invoice process for new and existing customers, including preparing quotes, processing orders, and generating invoices.
  • Coordinate after-sales support, including RMA processes, credit notes, repair quotes, and overseeing repairs to ensure customer satisfaction.
  • Create and process accurate sales orders in a timely manner.
  • Coordinate with internal departments to meet customer requirements and delivery timelines.
  • Track order status, communicate updates to clients, and follow up after delivery.
  • Maintain accurate records in ERP and CRM systems for all customer interactions and transactions.
  • Prepare and distribute customer documentation such as order confirmations and invoices.
  • Identify and escalate issues or delays, working proactively to resolve them.
  • Gather customer feedback and contribute to process improvements.
  • Generate reports and perform administrative duties related to customer service.
Education, Knowledge, and Experience
  • High school diploma or equivalent required; post-secondary education is an asset.
  • 2+ years of customer service or related support experience preferred.
Skills
  • Strong organizational and multitasking skills with attention to detail.
  • Excellent verbal and written communication skills.
  • Proficient in Microsoft Office; experience with CRM systems is an asset.
  • Ability to work independently and as part of a team in a fast-paced environment.
  • Customer-first mindset with the ability to handle multiple tasks.
  • Fluency in French is an asset but not required.
