  • Answer sales inquiries from telephone & email inquiries for designated relocations.
  • Provide quotations to private clients, agents, and corporate accounts or set appointments for Sales Representatives as required.
  • Follow the move management process throughout the lifecycle of the move.
  • Create, manage, and maintain accurate removal plans on Moveware and physical files.
  • Discuss and advise customers on packing, move processes, shipping methods, routing, transit times, regulations, import restrictions, and dangerous goods.
  • Handle and coordinate all SIRVA move data, input into Mosys and Moveware for Long Distance and Cross Border moves.
  • Discuss and advise customers on Tippet Richardson transit protection or Marine Insurance benefits, cover, and exclusions.
  • Discuss and advise customers on customs clearance regulations and delivery processes.
  • Check and confirm all rates & pricing as required.
  • Prepare work orders for import and export containers, schedule pickups, and manage container movements.
  • Assist in collecting deposits and payments via credit card.
  • Facilitate & handle Export freight and third-party bookings.
  • Prepare and submit Bill of Lading, Airway Bill instructions, and Customs Clearance paperwork.
  • Maintain communication with shipping companies and airlines for timely updates.
  • Prepare Canada Customs documentation; knowledge of ACI and eHBL is an asset.
  • Issue Marine Transit Insurance certificates.
  • Complete Waybill instructions and Manifest.
  • Forward or receive pre-alerts to / from overseas agents.
  • Manage documentation exchange with overseas agents and customers.
  • Verify invoices and coordinate payments with the accounting department.
  • Follow up on move arrivals and deliveries.
  • Adhere to FAIM Standards as set out in policy.
  • Coordinate and prepare reports as requested by Management.
  • Answer agent rate inquiries and submit prices when requested.
  • Conduct weekly follow-ups with agents for DA and OA requests.
  • Coordinate Moveware training and liaison as needed.
  • Manage all out-of-storage shipments as required.

Qualifications :

  • Strong communication skills, both written and verbal, with professional interaction with clients, vendors, and team members.
  • Knowledge of customs clearance procedures and documentation.
  • Proficiency in Microsoft Office Suite (Word, Excel, Outlook).
  • Strong organizational and time management skills with attention to detail.
  • Ability to handle multiple tasks simultaneously in a fast-paced environment.
  • Customer-focused with excellent interpersonal skills.
  • Ability to work independently and as part of a team.
  • Professional appearance and demeanor.
