Customer Marketing Coordinator (2-year contract)
THE POSITION

Responsible for performing daily ongoing project management and administration across a variety of functional areas within Marketing (Brand teams, Customer Experience Operations) to support the Therapeutic Area Marketing team to ensure timely development and execution of IBP/ICPs (Integrated Brand & Customer Plans),customer campaigns, budget management, calendar management, inventory management and special projects. This position works closely with all customer marketing staff and related internal and external stakeholders.

Responsibilities
  • Support for Supervisor (Therapeutic Area Head or Marketing Director): Provide administrative support as needed.
  • Support for Marketing Department: Responsible for daily administration support for the department (eg. maintaining organization chart and contact lists, on-boarding support for new hires, administration of department budget tracking).
  • Coordination and implementation of department meetings and educational lunch and learn sessions.
  • Update shareroom/Microsoft Teams, communication and email administration (across multiple departments), agency liaison, support for special promotions. Communicate with external customers when required to inform or gather information.
  • Tracking of budgets/financial support/reports. Accountable for timely and accurate processing of POs and invoices.
  • Support for assigned Therapeutic Areas (TA): Support the Sr/ Brand Managers in the implementation of the customer campaigns, based on the approved ICPs.
  • Partner with Sr/Brand Managers to identify process improvement and assist in streamlining and improving efficiencies.
  • Financial support for Therapeutic Areas , agency interface, inventory management, administration (invite/travel/honorarium/contracts) support for consultancy meetings, adhoc projects.
  • Accountable for timely and accurate processing of Purchase Orders (PO) and invoices.
  • Train and mentor new Marketing Coordinators.
  • Cross-train Coordinators from other departments to fill in during vacations and times of heavy workload.
  • Cross-train with other departments to expand knowledge of the company and fill in while other Coordinators are away.

This position is based in the Burlington, Ontario office located at 5180 South Service Road and isflexible.
Employees in flexible roles are required to be at the office a minimum of 50% of the time each month and must report to the office when requested and required by their Manager/Department.

Requirements
  • College or University degree (focus on business or finance administration is preferred)
  • Minimum 3 years experience working in an administrative support role in a highly demanding/complex organization
  • Communicating clearly and concisely, both orally and in writing (bilingual an asset).
  • Strong computer skills (Microsoft Office Suite) and aptitude for corporate systems and software (VEEVA, Concur, Axapta, GBS).
  • Agility to adapt across systems.
