About The Role

As a Credit Associate at Healthy Planet, you will play a key role in supporting our finance and vendor relations functions. This full-time, in-office position is ideal for someone who thrives on precision, communication, and cross-functional collaboration. You’ll be responsible for managing vendor credit memos, ensuring timely resolution of discrepancies, and supporting internal teams with clear and efficient processes. Key Responsibilities

  • Maintain clear, professional, and timely communication with vendors regarding credit memos, billing adjustments, and discrepancies.
  • Follow up proactively with vendors to secure missing documentation or resolve delayed credits.

Credit Memo Management

  • Review daily Credit Memo Requests submitted by stores, cross-referencing them with email communications to vendors.
  • Ensure all credit requests have been sent to the appropriate vendors promptly.
  • Receive, validate, and process incoming credit memos.
  • Post credit memos accurately into the accounting system with correct coding and categorization.
  • Monitor outstanding credits and ensure timely application.
  • Investigate mismatches between vendor credit memos and internal documentation.
  • Collaborate with Stores, Purchasing, Receiving, and Warehouse teams to resolve discrepancies and maintain consistency.

Reporting & Documentation

  • Maintain organized records of credit activities and vendor correspondence.
  • Generate and distribute regular reports on the status of credit memos, unresolved issues, and vendor performance.
  • Support process improvement initiatives related to credit management.

Qualifications

  • Education : Associate’s or Bachelor’s degree in Accounting, Finance, or a related field preferred but not required.
  • Experience : 2–3 years of experience in credit management, accounts receivable, or vendor relations.

Skills & Abilities

  • Strong written and verbal communication, with excellent email etiquette.
  • Experience using accounting software or ERP systems.
  • Proficiency in Microsoft Excel, including functions like VLOOKUP and pivot tables.
  • Detail-oriented with a strong sense of organization and time management.
  • Able to prioritize tasks and work efficiently in a fast-paced environment.
