SUMMARY

The Accounts Receivable Analyst is responsible for the accurate and timely processing of customer receipts according to internal policies, processes, and work instructions, as well as financial reporting of Accounts Receivable results. This role also involves providing customer statements, responding to inquiries, and acting as the initial contact for all account-related questions.

KEY DUTIES & RESPONSIBILITIES

Customer Receipts Processing
  • Processes customer payments (receipts) in accordance with established processes.
  • Communicates with relevant parties such as client or product line controllers and the client’s payables department to follow up, clarify information, or resolve disputes (e.g., late payments). Escalates issues to management when necessary.
  • Sets up electronic fund transfers (EFTs) for payments with clients.
  • Reviews documents for compliance and completeness, identifies non-compliant items or missing information, and obtains necessary data to ensure adherence to procedures.
  • Ensures cash is applied correctly within the company ERP system.
  • Maintains and updates cash application policies and procedures regularly.
  • Identifies process improvement opportunities and participates in automation efforts for cash application and accounts receivable tasks.
  • Prepares and documents bank deposits.
  • Reviews received customer funds and prepares analysis for treasury to transfer funds appropriately.
Accounts Receivable Monitoring
  • Monitors payment notices and contacts clients if funds are not received to verify wire details.
  • Reviews unapplied cash receipts and follows up on payment details, escalating unresolved issues to management.
  • Prepares AR aging reports and performs analysis as needed.
  • Prepares balance sheet schedules to support AR reconciliation.
  • Calculates revenue provisions for doubtful accounts.
  • Collaborates with client account or product line finance teams for account setup requisitions.
  • Maintains documentation for audit purposes.
  • Assists with customer statement preparation and communication, escalating to the manager when necessary.
  • Understands relevant construction law to advise stakeholders on potential risks.
Problem Solving
  • Performs account reconciliation and financial analysis.
  • Creates and analyzes reports.
  • Connects with appropriate organizational groups for payment errors and inquiries.
  • Performs other duties as required.

KNOWLEDGE & SKILLS

  • Community college diploma preferably in accounting with up to three years of related experience.
  • Basic understanding of full cycle accounting and interactions between financial systems (AR sub-ledger vs. TB).
  • Ability to execute work according to established procedures.
  • Strong attention to detail and accuracy in data processing.
  • Effective communication skills for data exchange, clarification, and dispute resolution.
  • Ability to exercise judgment.
  • Proficiency with accounting systems, MS Office Excel, and other software, with the ability to quickly learn new systems.
