Job summary

A public transit agency in Canada seeks a Corporate Services Coordinator. You will provide technical guidance to couriers, maintain mail records, and operate mail processing equipment. Start Rate (Non-negotiable): $33.35 per hour

Position Range: $33.35 - $42.24 per hour

Metrolinx is connecting communities across the Greater Golden Horseshoe. Metrolinx operates GO Transit and UP Express, as well as the PRESTO fare payment system. We are also building new and improved rapid transit, including GO Expansion, Light Rail Transit routes, and major expansions to Toronto’s subway system, to get people where they need to go, better, faster and easier. Our Corporate Records & Information Management Office is looking for a Corporate Services Coordinator to ensure effective and efficient mail and courier services are provided to the Corporation.

What will I be doing?
  • Provides day-to-day technical guidance to internal Couriers, including explaining mail/courier processes and procedures, referring complex problems to the Team Lead, Corporate Services & Administration.
  • Maintains Metrolinx courier, daily run sheets, records of both internal and external shipments including international.
  • Operates mail processing equipment (e.g., weigh scales, postal metre machine, folder & inserter machines, letter opener machine) and determines the most appropriate and cost-effective method of sending/shipping mail and parcels (e.g., Canada Post, overnight/same day courier).
  • Prepares mail and parcels for external delivery, processes registered mail and courier shipments according to established procedures and policies.
  • Sorts on-site mail for redistribution across the organization.
  • Delivers and pickup mail/ parcels, packages, shipments such as IT equipment, Supplies, interoffice memos etc by car or by walking to a range of intercity locations daily.
  • Liaises with Metrolinx business units regarding their shipping/mailing requirements and explains/recommends the most efficient and cost-effective methods of shipping/delivery to meet their business needs.
  • Receives all incoming mail, sorting and preparing for delivery to addressee, while maintaining confidentiality of information.
  • Orders supply for the mailroom, reviews the need to upgrade equipment and makes suggestions/recommendations to the Team Lead to replace/repair/upgrade mail processing equipment. Arranges for additional funds to be added to the postage metre to ensure postage metre machine is always kept in sufficient funds to meet any demand (e.g., mass mail outs).
  • Reviews all invoices for mailroom, for accuracy and codes appropriately and corrects routine errors. Escalating more complex problems/issues to the Team Lead.
  • Coordinates and monitors the maintenance schedule for all courier vehicles, including organizing regular maintenance appointments, oil changes, tune ups and follows up as necessary.

This position may require heavy lifting of boxes, loading, unloading and continuous standing and walking when operating machines in the mailroom facility and when delivering & pickup of mail/shipment between various Metrolinx locations across the intercity. Working hours are Monday to Friday (36.25 hours per week).

What Skills and Qualifications Do I Need?
  • Level of reading, writing and learning skills normally attained through completion of high school.
  • Computer skills, ability to operate smartphone, working knowledge of MS Office i.e. Word, Excel, Outlook etc.
  • Demonstrated progressive experience/training in mailroom procedures.
  • A good working knowledge of postal regulations and procedures to accurately and efficiently process mail.
  • Good knowledge of Greater Toronto Area roads and locations to assist couriers in determining most efficient routes.
  • Good organizational and communication skills. Ability to multitask and customer service oriented.
  • Experience working with multiple internal clients (Metrolinx business units requiring services) and outside agencies (e.g., external courier companies) to support various corporate requirements for mail and courier services.
  • Valid Ontario Class "G" driver’s license in good corporate standing.
