Position Summary

We are seeking a competent and proactive Administrative Coordinator to join our team. The ideal candidate will provide comprehensive administrative support to ensure the efficient operation of the office. As an Administrative Coordinator, you will manage various tasks including answering calls, greeting guests, maintaining office supplies, coordinating meetings, handling travel arrangements, and assisting with HR-related duties.

Key Accountabilities

  1. Serve as the first point of contact by answering incoming calls and greeting guests professionally and courteously.
  2. Assess space readiness regularly, ensuring workspaces, conference rooms, and offices are safe and prepared for employees.
  3. Monitor and maintain inventory of office supplies, including ordering and restocking as needed for smooth operations.
  4. Schedule and coordinate meetings, conferences, and appointments for executives, including arranging accommodations and preparing meeting rooms.
  5. Evaluate travel needs and preferences for the Managing Director and other managers, booking flights, accommodations, and transportation in line with company policies and budgets.
  6. Maintain accurate records and documents for executives, including correspondence, reports, and confidential files.
  7. Assist the HR Manager with recruitment activities, HR events, and onboarding processes. Coordinate interview and training schedules as needed.
  8. Perform basic data entry tasks, updating databases, spreadsheets, and documentation with relevant information.

  • Proven experience in an administrative role, preferably in a fast-paced environment.
  • Excellent communication and interpersonal skills to interact effectively with employees, clients, and vendors.

  • Proficiency in MS Office Suite (Word, Excel, PowerPoint, Outlook) and other relevant software.
  • Ability to multitask and prioritize workload effectively to meet deadlines.
  • Discretion and professionalism in handling confidential information.
  • Flexibility and adaptability to changing priorities and responsibilities.
