Position Summary

As Sales Coordinator, you will play a key administrative support role within our dynamic sales team. From preparing proposals and handling follow-ups to coordinating site visits and marketing activities, you'll help drive business and support day-to-day operations. You’ll also contribute to marketing initiatives through content support and assist with special projects.

Responsibilities

  • Provide daily administrative support to the Sales and Marketing teams, including follow-ups, calls, and research on prospective clients.
  • Prepare and draft proposals, contracts, reports, and other business documents for Sales Managers while ensuring detailed follow-through across all steps.
  • Support the marketing strategy by contributing to content planning, visual asset creation, and coordinating social media posts.
  • Receive incoming inquiries and assign them to the appropriate Sales Representatives for prompt and efficient handling.
  • Greet visitors to the administrative office, provide professional and attentive service, and respond to needs from both clients and colleagues.
  • Assist the Director of Sales & Marketing with structured and reliable support in her daily responsibilities.
  • Manage incoming calls, emails, and internal communications to ensure they are routed to the appropriate departments.
  • Support the coordination of internal events that promote the brand and strengthen client and partner relationships.
  • Help distribute purchase orders, change logs, and other management tools daily.
  • Generate and send activity reports related to Sales and Marketing, ensuring accuracy in data reporting.
  • Occasionally assist with phone coverage or client inquiries as needed.
  • Draft gift certificates and coordinate Marriott Bonvoy points for group bookings.
  • Prepare client gifts and sales tools to support the team’s outreach efforts.
  • Participate in internal projects or collaborative initiatives that improve departmental efficiency.
  • Exceptional organizational skills and attention to detail
  • Comfortable working under pressure and managing multiple tasks simultaneously
  • Proficient in Microsoft Office Suite
  • Professional attitude, team spirit, and strong autonomy
  • Familiarity with CI/TY (an asset)
