We are currently hiring for the position of:
COORDINATOR, VOLUNTEERS
Reporting to the Senior Manager, Festival Services and Volunteers, the Coordinator, Volunteers will work with the Volunteer Office to prepare for the 2025 Toronto International Film Festival by overseeing the orientation, training, and scheduling efforts for the Toronto International Film Festival, including Volunteer Captains. This is a great opportunity for anyone with an interest and/or background in volunteer management, arts administration or talent acquisition.
RESPONSIBILITIES:
General
Accurately manage database information including maintenance of Volunteer service records, schedules, performance notes and account updates
Train and supervise seasonal Assistants, Interns and Volunteers assisting in the office
Festival Volunteer Programme
Assist in scheduling, training and supervision of Volunteers
Provide prompt responses to Volunteer inquiries received by email, phone and in person
Assist with the planning, logistics and execution of all online and on-site orientation and training sessions, including leading onsite Volunteers and communicating TIFF Festival policies and information
Assist with Orientation post-processing immediately following each session; including processing orientation attendance into database and ensuring all Commitment Agreements are accounted for
Collaborate with internal departments to coordinate Volunteer requests and build schedules
Assist with updating and executing training sessions for teams of TIFF staff about working with Volunteers
Assist in creation of comprehensive in-person training session specifically for Volunteer Captains
Assist with Volunteer onboarding, including dissemination of Volunteer t-shirts and passes
Assist in ensuring that all Volunteers submit their headshot in the correct format.
Assist with sharing confirmed Volunteers and headshots with Ticketing team for badge printing
Track all Volunteer attendance, cancellations, skills, rewards, and performance
Processing and tracking Festival paperwork (i.e. sign-in sheets, feedback forms)
Present information at various Volunteer training sessions and prepare any related training material
Assist department with ACE desk/lounge supervision during the Festival
Assist Volunteer Office team with administrative tasks as requested
Create a comfortable, inclusive and welcoming atmosphere where all staff and volunteers feel appreciated and engaged
Complete a post mortem report at the end of the Festival and assist with post-Festival administration and database clean-up.
Ensure all Volunteer records in the Volunteer database are up-to-date and accurate
JOB GRADE & RATE OF PAY
Job Grade 1
$24 /Hourly
CONTRACT DATES OR START DATE:
June 16, 2025 - September 19, 2025
WORK LOCATION:
Office Location: 350 King Street West, Toronto, ON M5V 3X5
Weekly in-office requirements:
4 days a week with 1 work from home day.
Festival in-office Requirements: Full Time during Festival (September 4-14)
MINIMUM REQUIREMENTS:
1 or more years of proven experience working with volunteers
1 or more years of experience directly supervising staff, interns or co-op students
Experience in recruitment, screening, and training of large groups of people
Highly proficient computer skills (knowledge of Word, Excel, Gmail, Google Docs, etc.)
Working with contact or scheduling databases (experience with an online volunteer management tool is an asset)
Previous training in the Accessibility for Ontarians with Disabilities Act an asset
Comfortable presenting to and engaging with large groups of volunteers and staff in a personable and professional manner
Create a comfortable, inclusive and welcoming atmosphere where all volunteers feel appreciated
Strong organizational skills with extreme attention to detail
Ability to multitask, with a willingness to adapt to shifting priorities and circumstances
Comfortable working in a fast-paced, open-concept environment
Ability to handle confidential information in a discreet manner
Ability to handle difficult situations and people with positive, problem-solving attitude
Adaptable to a flexible work schedule including some evenings and weekends
