Job Summary

The Coordinator, Property Tax – Canada oversees the financial reporting and property tax payment processes for all CN’s Canadian holdings. The role requires timely and accurate tax payments to taxing authorities under tight deadlines.

Main Responsibilities
  1. Property Tax Budgeting and Financial Reporting
    • Handle property tax financial reporting in compliance with Sarbanes-Oxley (SOX) and maintain up-to-date SOX documentation.
    • Prepare, analyze, review, and submit monthly forecasts, financial data, YTD reports, and budgets, explaining variances.
    • Resolve and book monthly property tax accruals based on the yearly budget.
    • Prepare and review month-end and year-end account reconciliations for Property Tax Balance Sheet Accounts.
    • Prepare quarterly and yearly tax reporting on Gross Tax Payments.
  2. Assessment Review
    • Maintain and review assessment valuation records, document annual assessment changes, and notify the Manager, Property Tax of upcoming deadlines.
    • Oversee notifications related to assessments and update SAP accordingly.
    • Support the Manager with the appeal process and advise on deadlines.
    • Assist in preparing right of way inventory and tracking reports for tax purposes.
  3. Property Tax Management
    • Audit property tax invoices, resolve issues with tax authorities, and process payments accurately and timely.
    • Monitor tax payments, reconcile charges with assessments, and resolve billing issues.
    • Obtain banking info for electronic payments and keep authorities’ info updated in vendor modules.
    • Liaise with tax authorities and internal groups on property tax matters.
    • Verify and approve tax payments within limits, and allocate refunds from appeals or reviews.
    • Maintain controls, analyze exceptions, and perform corrections to ensure valuation and tax accuracy.
  4. Tenant Tax Recoveries and Other Tasks
    • Calculate and process tenant recoveries based on leases and legislation.
    • Coordinate with Accounts Receivable, update recovery files, and maintain tax-related documentation in SAP.
    • Work with I&T to leverage SAP and test upgrades.
  5. Working Conditions
    • Standard office environment, with a regular Monday to Friday schedule. Must meet deadlines and handle pressure.
  6. Requirements
Experience
  • 3-5 years in Property Tax, Lease Administration, or Collections. Background in property valuation or surveying is an asset.
Education/Certification
  • College Diploma in Accounting, Business, or Property Valuation.
  • Bachelor’s Degree in Accounting, Business Administration, or Real Estate is an asset.
Competencies & Skills

  • Proficiency in SAP, Business Warehouse, Excel advanced functions, GIS, MapGuide. Bilingual in English and French.
