JOB PURPOSE
This role provides project coordination and executive-level administrative support to the COO and CEO, while also assisting with Toronto office operations. Reporting to the Manager, Optimization, the Coordinator supports corporate initiative tracking and project status management. Acting as a shared resource across executive leadership, this role ensures seamless coordination of strategic priorities, operational tasks, and enterprise-level initiatives - all while delivering a high standard of internal customer service.
KEY RESPONSIBILITIES
Project & Portfolio Coordination
- Support planning, execution, and tracking of corporate initiatives led by the COO and CEO.
- Maintain project documentation, timelines, issues, and decisions using Microsoft 365 tools.
- Follow up on project and meeting action items with an enterprise view, ensuring alignment across in-flight work and identifying resource impacts.
- Escalate delays, risks, or unexpected outcomes to the Manager, Optimization.
- Coordinate with cross-functional teams to ensure timely delivery of milestones.
- Lead or support project check-ins and stakeholder meetings to maintain momentum and resolve roadblocks.
- Send weekly requests for project status updates and maintain portfolio-level reporting (e.g., work lists, dashboards).
- Create new reporting formats as needed to support executive visibility.
Executive Support
- Manage calendars, travel arrangements, and meeting logistics for the COO and CEO.
- Prepare briefing materials, agendas, and follow-up documentation for executive meetings.
- Monitor and prioritize executive correspondence and communications.
- Assist in the preparation of leadership reports and status updates.
Office Management (Toronto)
- Oversee daily office operations including supplies, courier/mail handling, and vendor coordination.
- Participate in administrative duties such as reception, visitor management, and facilities upkeep.
- Support onboarding/offboarding logistics, including key card and parking pass administration.
- Ensure the Toronto office maintains a professional and welcoming environment.
QUALIFICATIONS
- Post-secondary education in business administration, project management, or a related field.
- 2–4 years of experience in project coordination, executive support, or office administration.
- Experience leading projects or completion of project management courses is an asset.
- Proficiency in Microsoft Office 365 (Outlook, Teams, Excel, PowerPoint, SharePoint).
- Strong organizational, communication, and problem-solving skills.
- Ability to manage multiple priorities and maintain confidentiality.
- Experience preparing and delivering reports for executive audiences.
- PMP certification or interest in pursuing it is considered an asset.
