Job summary

Aecon Group Inc. is seeking a Project Coordinator to support utility construction projects, reporting to the Project Manager.

You will organize documentation, track RFIs, and help manage change orders while ensuring accurate reporting and compliance across the project lifecycle. Ideal candidates bring a technical diploma or engineering degree, at least 3 years of project coordination experience in civil construction, and proficiency with MS Office and PM systems.

Qualifications

  • Technical diploma, engineering degree, or equivalent combo of education and experience.
  • Minimum 3 years of project coordination experience in civil construction, utilities, infrastructure or industrial projects.
  • Strong organizational, communication, and time-management skills.
  • Proficiency in Microsoft Office Suite (Excel, Word) and MS Project.
  • Experience with SAP, Hard Dollar, or similar PM systems is an asset.
  • Ability to manage multiple priorities, work independently, and meet deadlines.
  • Strong attention to detail and commitment to high-quality work.
  • Comfortable working in both office and field environments, with rotation as required.

Responsibilities

  • Support the Project Manager in coordinating daily construction activities and ensuring project execution.
  • Establish, organize, and maintain project documentation, folders, templates, drawings, reports, RFIs, and correspondence.
  • Manage document control by tracking revisions and distributing current documents and drawings.
  • Prepare, issue, track, and follow up on RFIs; ensure timely resolution of items.
  • Assist with change notices, change orders, and related documentation.
  • Coordinate project meetings, prepare agendas, minutes, and action items.
  • Support planning and reporting with data, site hours, and progress reports.
  • Prepare O&M manuals, quality docs, and closeout packages for review and client submission.
  • Liaise with project team members, subcontractors, clients, and stakeholders.
  • Monitor documentation and reporting to ensure contract and standard compliance.
  • Promote safety, quality standards, and company policies in all project activities.

Reporting to the Project Manager, the Project Coordinator will provide coordination and administrative support to utility construction projects. This role plays a key part in ensuring project documentation, tracking, and communication are effectively managed throughout the project lifecycle.

What You'll Do Here:
  • Support the Project Manager in coordinating daily construction activities and ensuring successful project execution.
  • Establish, organize, and maintain project documentation, including project folders, templates, drawings, reports, RFIs, correspondence, and document control records.
  • Manage document control processes by tracking, logging, distributing, and maintaining current revisions of project documents and drawings.
  • Prepare, issue, track, and follow up on Requests for Information (RFIs), ensuring timely resolution of outstanding items.
  • Assist with the preparation, administration, and tracking of change notices, change orders, and other project-related documentation.
  • Coordinate project meetings and conference calls, including scheduling, preparing agendas, documenting minutes, and tracking action items.
  • Support project planning and reporting activities by compiling project data, status updates, site hours, and progress reports.
  • Prepare Operations & Maintenance (O&M) manuals, quality documentation, and project closeout packages for internal review and client submission.
  • Liaise with project team members, subcontractors, clients, and stakeholders to facilitate communication and information flow.
  • Monitor project documentation and reporting requirements to ensure compliance with contractual obligations and project standards.
  • Promote and maintain compliance with company policies, procedures, quality standards, and safe work practices.
What You Bring to the Team:
  • Technical diploma, engineering degree, or an equivalent combination of education and relevant experience.
  • Minimum 3 years of project coordination experience, preferably within civil construction, utilities, infrastructure, or industrial projects.
  • Strong organizational, communication, and time-management skills.
  • Proficiency in Microsoft Office Suite, including Excel, Word, and MS Project.
  • Experience with SAP, Hard Dollar, or similar project management systems is considered an asset.
  • Ability to manage multiple priorities, work independently, and meet deadlines in a fast-paced environment.
  • Strong attention to detail and commitment to producing accurate, high-quality work.
  • Comfortable working in both office and field/site environments, including rotational work assignments as required.

The expected pay range for this role is $60,000 - $75,000 per year.

Individual pay is determined based on several factors, including work location, education, experience, unique skills and job conditions. Other considerations may include certifications, specialized training, and the complexity or scope of the role.
