We are currently hiring for the position of:
COORDINATOR, PHILANTHROPY
Reporting to the Senior Director, Philanthropy, the Coordinator, Philanthropy leads project coordination efforts for the team, ensuring timely execution of deliverables across multiple internal and external stakeholders. Supporting the Philanthropy teams; responsibilities include event and project coordination, donor stewardship, and administrative support.
RESPONSIBILITIES:
Shall include, but not limited to:
Project Coordination
Lead team project coordination efforts, creating and maintaining tracking systems for timelines and deliverables
Track Senior Management Team meetings, conduct research and assign tasks as necessary
Set up and update full-year calendar deliverables, ensuring alignment with team goals and org-wide initiatives
Write and keep up to date internal team Standard Operating Procedures
Donor Stewardship Support
Drafting and sending gift acknowledgements
Draft and deploy stewardship communication touchpoints
Fulfill regular stewardship touchpoints
Work across teams to ensure accurate supporter recognition, including maintaining digital and print donor records
Offering concierge service to supporters
Draft stewardship and impact templates and reports
Support stewardship of TIFF’s VIP members and donors
Event Support
Act as project planning lead for philanthropy events, developing work backs and ensuring deliverables are met
Project coordination for the Tribute Awards and Beyond Events, collaborating with the lead project manager. Support project management by ensuring adherence to timelines, act as the primary correspondent for stakeholders, manage general inquiries, oversee invoicing and payments, and provide on-site event support. Organize inventory of recognition and naming opportunities
Conduct research and help build prospect profiles
Maintain moves management systems and help coordinate senior staff and volunteers
Administrative support to Philanthropy team
Assisting in day-to-day operations while also strategically tracking mid and for long-term objectives
Coding, tracking and invoicing gifts and pledges
Invoicing and purchase order support
Helping to set up meetings
Producing campaign and other reports
Other tasks as assigned
JOB GRADE & SALARY:

Job Grade Salary Range: $45,000.00 to $57,000.00
TARGET CONTRACT DATES:
May 25, 2025
WORK LOCATION:
Office Location: 350 King Street West, Toronto, ON M5V 3X5
Weekly in-office requirements:
Minimum 2 days (November to April)
Minimum 3 days (May to October)
Festival Office Requirements: Full Time during Festival
MINIMUM REQUIREMENTS:
Bachelor’s Degree or acceptable combination of equivalent experience
2-3 years of experience in fundraising or non-profit environment
Experience in writing and editing reports and correspondence
Experience dealing with donors or customers
Experience with Raiser’s Edge an asset
Proficient computer skills in Google Workspace; skills in spreadsheet management and data manipulation
Familiarity with basic prospect research techniques and tools such as iWave
Strong writing and data skills
Excellent attention to detail
Excellent organizational and time-management skills
Strong interpersonal skills
Strong critical thinking and troubleshooting abilities
Commitment to professional feedback and development
Adaptable to a flexible work schedule including occasional evenings and weekends
Passion for the arts and film is desirable.
Mental effort: attentiveness and/or concentration
Ability to manage multiple priorities in a dynamic, fast-paced environment
Ability to work in an open office environment
Ability to handle stressful situations with calm and professional demeanor
Physical effort:
During festival need to be able to work for 10-12 hour stretches while standing .
9am-5pm, Monday thru Friday, with some evening and weekend work;
office, mostly
sitting, regular interruptions
some local travel
