Description of the Position:
The Coordinator, Philanthropy is responsible for providing administrative support to the members of the Philanthropy team. Their primary responsibilities include inputting, extracting, and reviewing data from a relationship database (referred to as KYDs – Blackbaud CRM), providing input on processes and strategies, supporting the teams’ fundraising initiatives, and managing a variety of administrative tasks such as writing letters, working with all Microsoft 365 programs, answering phones and emails and creating queries simultaneously.

Responsibilities include:
  1. Maintain the KYDs database (CRM) for Major Gift donors to ensure data integrity including the entering of data and creation of profiles and producing standardized reports and database extractions
  2. Provide ongoing coordination and support to fundraisers in managing donor portfolios, tracking revenue, and maintaining up-to-date plans and opportunities in the CRM system
  3. Support fundraising initiatives by tracking activity of fundraisers and volunteers, managing next steps to ensure adherence to project plans and preparing regular activity reports
  4. Collaborate with the Finance team to ensure accurate and timely gift coding, pledge booking, and revenue reconciliation; support fundraisers in executing the gift agreement signing process
  5. Collaborate with other teams (ex. Development Operations, Stewardship and BIIT) to pull and maintain clean donor lists for a variety of donor operations
  6. Ensure timely and accurate reconciliation of disbursement files from partner organizations such as United Way and Benevity as needed
  7. Manage the creation, briefing and distribution of meeting agendas and materials, arrange meeting facilities and catering; may take, transcribe, and compose minutes
  8. Provide administrative support for the team and assist with donor meeting setup and travel arrangements for donor meetings (such as filing expense reports, booking venue etc.)
  9. Contribute to fundraising goals by assisting senior management in achieving their objectives
  10. Maintain a high level of contact with internal and external stakeholders, including the management of confidential and sensitive information
  11. Actively participate in Internal meetings, serving as minute taker when needed
  12. Attend and support SickKids and Philanthropy events as required
  13. Work towards advancing professional and technical knowledge by attending educational workshops; reviewing professional publications; and establishing your personal networks
  14. Provide backup support to the Coordinators, Leadership and Legacy Giving as well as other administrative staff
  15. Liaise with functional unit coordinators, at minimum on a monthly basis, to discuss & drive efficiencies on input, updates, and data extraction
  16. Work collaboratively with Development Operations team to support report needs, process improvements, and data governance as it relates to the Philanthropy team
  17. Additional office duties and projects as required
Qualifications:
  • 3+ years experience coordinating and implementing multi-faceted projects; preference to those in development/fundraising environment
  • Excellent interpersonal and communication skills (written and verbal)
  • Demonstrated experience in analyzing and reporting on bulk data including revenue reconciliation and donor statistics
  • Exceptional organization skills, keen attention to detail, and ability to coordinate multiple projects within tightly prescribed timelines
  • Proficiency in Microsoft Excel with intermediate knowledge of formulas, pivot tables, and data cleaning
  • Excellent computer skills (Microsoft 365) and ability to learn and use new software programs
  • Demonstrated experience working within a CRM database system
  • Team player: ability to take initiative and work collaboratively with other Foundation teams
  • Proactive in anticipating and responding to team's needs and managing multiple and changing priorities
  • High energy and level of enthusiasm, and ability to work independently
  • Ability to take initiative and demonstrate a flexible approach in responding to needs as they arise
  • Ability to prioritize and multi-task
  • Ability to solve problems
  • Able to exercise discretion and tact with sensitive and confidential situations
