The People & Culture (P&C) Coordinator is a critical member of the P&C team who supports UCC’s mission by delivering responsive, effective, and people-centered human resources services. This role serves as the primary point of contact for all recruitment activity, employee documentation and correspondence, and system optimization within ADP Workforce Now.
The Coordinator plays a key role in fostering a healthy, positive, and supportive workplace culture. As a trusted partner and liaison for employees and leaders, the incumbent ensures high-quality service delivery, coordinates and implements operational HR processes, and contributes to a continuous improvement approach to systems, data, and employee experiences.
Responsibilities:Recruitment & Onboarding- Lead the end-to-end recruitment process for all employee groups including job postings, screening, interview coordination, candidate communication, and reference checks.
- Develop and prepare interview guides and job requisitions in collaboration with hiring managers.
- Draft and issue employment contracts, offer letters, and related onboarding documentation.
- Coordinate all onboarding logistics (e.g., orientation materials, systems access, keys, security cards, devices).
- Support the development and implementation of recruitment strategies and workforce planning initiatives, including campus recruitment and/or networking sessions.
- Deliver a consistent, responsive, and welcoming candidate experience aligned with UCC values.
HRIS, Systems and Process Optimization- Serve as the department’s lead administrator and internal champion for ADP Workforce Now.
- Ensure integrity of employee data in ADP by overseeing timely and accurate updates to contracts, job changes, personal information, and status changes.
- Identify, recommend, and implement opportunities for improving data accuracy, workflow automation, and reporting capabilities.
- Generate analytics and reports to support HR planning, compliance, and decision-making.
- Support the department’s process improvement work by participating in process mapping and workflow reviews.
- Collaborate on projects to streamline procedures and enhance employee-facing services.
- Respond to employee inquiries and act as the first point of contact for the P&C inbox, redirecting or escalating issues as needed.
- Make recommendations on improving filing and organization systems.
Employee Communication & Documentation- Draft employee-related correspondence including contract amendments, letters of employment, and verification letters.
- Maintain consistent filing practices (electronic and paper) to ensure up-to-date, compliant personnel records.
- Supports record keeping and compliance for employee growth and evaluation process
- Ensure all onboarding/offboarding documentation is received, uploaded, and stored appropriately (e.g., VSS, certifications, policy acknowledgements).
- Monitor and maintain compliance training records (e.g., WHMIS, First Aid, workplace harassment and violence, OHS).
Events, Programs & Department Support- Provide support and/or coordination support for P&C-led events such as new hire orientations, professional development sessions (e.g. First Aid), rewards and recognition programs, and other school-wide initiatives.
- Collaborate with the Assistant to support the logistics and execution of annual training, employee engagement surveys, and feedback mechanisms.
- Assist with the coordination and documentation of HR-related committees and initiatives, including Health & Safety, Wellbeing, and Community Involvement.
- Support initiatives that promote diversity, equity, and inclusion, reflecting the College's commitment to pluralism.
Other Duties- Assists with other administrative duties as required.
- Be a mentor for an IB continuum project (Personal Project, PYP Exhibition or Extended Essay)
- Project work as required
Experience, Knowledge and Competencies:
- Post-secondary education in Human Resources, Business Administration, or a related field.
- Minimum 3–5 years of experience in human resources administration or coordination.
- Previous experience with HRIS platforms (preferably ADP Workforce Now).
- Demonstrated experience managing recruitment and onboarding processes.
- Strong administrative and organizational skills with acute attention to detail.
- Excellent written and verbal communication skills.
- Comfortable working with confidential information and exercising sound judgment.
- Ability to work independently, prioritize tasks, and respond effectively to changing demands.
- Proficiency in Google Workspace (Docs, Sheets, Calendar, Gmail), and familiarity with MAC environments.
