Job Summary :

You will support a wide range of financial, operational, and administrative functions across multiple related entities. Working directly with our Accountant responsible for booking all transactions and creating monthly financial statements, reporting to our COO / CFO, you will prepare accurate, timely, and useful information for all entities which forms the basis for monthly, quarterly, and annual reporting. While on average this job will require two to two and a half days per week of your time, at month, quarter, and year ends, there will be additional days required to meet reporting requirements.

Key Responsibilities :
  1. Accounting, bookkeeping, and back-office administration
  2. Ensure clear and effective operating processes and internal controls are well documented and in place.
  3. Establish and maintain chart of accounts for all individuals and entities.
  4. Prepare / review journal entries and reconciliations for monthly and quarterly general ledger closes on an accrual basis.
  5. Review intercompany activities and manage accounts payable.
  6. Cash management, including forecasting future cash needs and ensuring that bank accounts are appropriately funded and reconciled in advance of those needs.
  7. In conjunction with the CFO / COO, prepare an annual operating budget for each entity.
  8. Financial administration of all corporate and private properties.
  9. Prepare monthly, quarterly, and annual financial statements (balance sheet, income statement, and cash flow statement) tailored to the informational needs of users for review by CFO and presentation to stakeholders.
  10. Preparation and reconciliation of investment performance reports (including summaries of investment balances, values, and rates of return), individually and by entity.
  11. Automate and improve reporting quality and efficiency.
  12. Maintain organized, audit-ready financial records and supporting documentation.
  13. Prepare and review (where prepared by third parties) personal and corporate tax returns for final review by CFO and relevant experts.
  14. Interface with CRA and other regulatory agencies on tax, excise, and other regulatory matters.
  15. Maintain up-to-date filings and corporate minute books for all entities.
Key Requirements & Qualifications :
  • CPA designation earned while working at a Big Four firm (or similar) with a degree in Finance, Accounting, or related field.
  • Minimum of 5-7 years of experience, preferably within a family office, private wealth, or multi-entity organization with rigorous financial reporting responsibilities.
  • Experience and knowledge of investment administration (public and private).
  • Expertise in accounting software (e.g., QuickBooks, MS Business Central 365) and Excel.
  • Experience with tax preparation software.
  • Exceptional attention to detail, accuracy, and organizational abilities.
  • Aptitude for finding efficiencies and adopting new software.
  • Ability to manage multiple entities and complex financial structures.
