Job summary

IMP Aerospace & Defence is seeking a detail-oriented contracts administrator to manage performance, financial reporting and communications across aerospace and defence contracts. The role requires strong accounting basics, customer liaison skills, and the ability to work independently or in a team.

Responsibilities include billing, progress reporting, forecasting, subcontractor management, and export control compliance.

Qualifications

  • Bachelor degree in commerce or business administration.
  • Strong spreadsheet and word processing skills.
  • Knowledge of accounting principles and finance preferred.
  • Excellent organizational and time management abilities.
  • Strong written and verbal communication skills.
  • Ability to learn quickly in a fast-paced environment.

Responsibilities

  • Manage and monitor performance of contracts and provide financial reporting.
  • Ensure adherence to contractual terms and conditions.
  • Prepare billing and claims in line with contract payment basis.
  • Analyze contract administration issues and propose solutions.
  • Attend contract progress review meetings (internal and external).
  • Prepare and review reports related to contract progress.
  • Monitor and report financial progress against contracts.
  • Prepare financial information and price estimates for negotiations.
  • Negotiate terms, pricing, and scope with customers.
  • Serve as focal point for communications between IMP and customers.
  • Draft contractual letters and notices as required.
  • Support financial forecasting for contract expenditures.
  • Manage subcontractor relationships including negotiations and planning.
  • Assist with export control matters per CGP/ITAR rules.
  • Support day-to-day operations and maintain records.

Position Overview

To manage and monitor the performance of products and services in respect of aerospace and defence contracts and, provide the customer and company with general contractual and financial information and reporting.

What You Will Do
  • Ensure adherence to contractual terms and conditions
  • Billing and claim preparation in accordance with the Contract Basis of Payment
  • Recognition, analysis, and solution definition for contract administration issues
  • Attendance at both Internal and External Contract Progress Review Meetings
  • Preparation and review of internal and external reports relating to contract progress
  • Monitoring, analyzing and reporting financial progress against assigned contracts
  • Prepare financial information and price estimates to support contractual negotiation activities undertaken by the Company
  • Negotiate contract and changes for terms and conditions, pricing, workscope etc.
  • Serve as the focal point for all formal communications between IMP and its customers
  • Write contractual letters and other communications and notices as required
  • Support financial forecasting for contract expenditures
  • Manage various subcontractor relationships including commercial negotiations, financial planning and ensuring adherence to contractual obligations
  • Assist with all export control matters in accordance with the Canadian and US export control legal requirements
  • Support day to day operations as required
  • Ensure that all records are accurately filed and kept up to date
  • Other duties as may be assigned from time to time
What You Will Bring
  • Bachelor of Commerce/ Business Administration
  • New graduates are encouraged to apply
  • Strong computer skills with emphasis on spreadsheet and word processing experience
  • Knowledge of accounting principles and finance preferred
  • Should exhibit strong organizational and time management abilities
  • Above average interpersonal and written communication skills
  • Possesses excellent attention to detail
  • Strong analytical thinking and problem solving skills and the ability to learn in a fast paced environment
  • Ideally 1-2 years in industry with contract administration emphasis or related field
  • Able to work proactively independently and as part of a team
  • Participate in Continuous Improvement, Lean & 5S activities in your area.
  • Must be eligible to meet requirements for Canadian Controlled Goods Program (CGP), U.S. International Traffic in Arms Regulations (ITAR) and Canadian Government Security Clearances.
