Reporting to the Manager, Contracts, the Contract Specialist will support Smile’s contracts team by managing risk and ensuring business needs are met through effective contract and procurement processes within an established framework. This role involves managing relationships throughout the contract lifecycle, from RFP support to reviewing and negotiating supplier and customer contracts, to ensure value-driven outcomes for the organization and its clients.

Responsibilities:
  1. Prepare, review, negotiate, and administer a variety of agreements including software licenses, partner agreements, vendor contracts, NDAs, and service agreements.
  2. Collaborate with cross-functional teams such as sales, delivery, compliance, procurement, finance, and operations to ensure contract compliance with legal, financial, and operational standards.
  3. Implement and update policies, procedures, and best practices for contracts and procurement.
  4. Support the RFP process by working with the Pursuit team, including drafting and evaluating proposals.
  5. Review vendor contracts in accordance with sourcing policies to support procurement.
  6. Maintain an organized contract management system, tracking deliverables, renewals, and compliance.
  7. Guide internal teams on contractual risks and recommend strategies to mitigate liabilities and strengthen relationships.
  8. Assist in negotiations, ensuring adherence to governance and policies, and completing approvals.
  9. Maintain a vendor database to track performance and service quality.
  10. Ensure compliance with applicable laws and regulations.
  11. Generate reports for teams and leadership as needed.
Requirements:
  1. At least 3 years of experience in contract management or compliance, or 2+ years in an in-house legal or contracts department, preferably within a software or professional services environment.
  2. Experience in healthcare and/or technology industries is preferred.
  3. Post-secondary education in Business, Commerce, Law, or a related field, or equivalent experience.
  4. Proven ability to lead contract negotiations and collaborate with stakeholders efficiently.
  5. Excellent communication skills, with persuasive and consensus-building abilities.
  6. Strong attention to detail and ability to interpret complex legal, business, and technical documents.
  7. Ability to work effectively in fast-paced, complex environments independently and in teams.
  8. Strong interpersonal skills for effective collaboration with internal and external partners.
  9. Experience leading or contributing to continuous improvement initiatives.
  10. Excellent organizational, problem-solving, analytical, and decision-making skills.
  11. Experience with Contract Lifecycle Management (CLM) software is strongly preferred.
