Job summary

VSL Canada is seeking a Contract Coordinator to provide detailed contract management support to the Operations and Financial team on a project site. The role involves negotiations with subcontractors, reviewing quotes, monitoring performance, and ensuring compliance with the Commercial Plan.

The ideal candidate has 5+ years in contract administration, a construction management background, and the ability to travel within Canada.

Qualifications

• Bachelor's degree in Construction management or similar.
• 5 years contract administration experience.
• Willing to travel within Canada.
• Bilingual English/French preferred.
• Experience in multi-national environments.
• Experience managing packages worth CAD 2 million or more.

Responsibilities

• Negotiate commercial terms with subcontractors.
• Review subcontract quotes and information for procurement.
• Ensure bonding is obtained as per Commercial Plan.
• Administer and monitor subcontractors’ performance and compliance.
• Check progress applications and issue payment recommendations.
• Value change orders and support earned value reporting.
• Coordinate with engineering and construction to ensure contract compliance.
• Assist in subcontract final accounts and close-out activities.

The role

We are seeking a Contract Coordinator to provide detailed contract management support to the Operations and Financial team located on the project site.

What You’ll Do

• Conduct negotiations regarding commercial terms and conditions with subcontractors.
• Review subcontract’s quotes & information actively participating in procurement.
• Assess and ensure appropriate bonding is obtained from all subcontractors in accordance with the Commercial Plan.
• Administer subcontractors and monitor their performance and compliance with commercial terms
• Check progress applications and issue recommendations for payment.
• Valuation of change orders.
• Assist Commercial Manager with earned value reporting
• Interact with engineering and construction departments to ensure compliance with terms, revisions, and amendments of subcontract
• Participate in subcontract claims or dispute settlements according to delegated authority
• Conduct subcontract final account review and process back charges
• Recommend efficiency changes to contract administration
• Claims from subcontractors and claims against the client
• Administer the contractual execution of the contract and ensure compliance
• Process contractor requests for progress payment, reviewing for accuracy of the request prior to issuance to cost control
• Process contractor request for release of hold back and final payment, ensuring all documentation is received, and deficiencies are addressed.
• Final close-out of the contract and evaluation of contractor performance
• Comply with and implement all Health & Safety project requirements.

What We’re Looking For

• Bilingual in English and French is preferred
• Advanced knowledge of contractual execution of the contract to ensure compliance. Surety/Letters of Credit – Performance, Holdback, Labour & Material Bonding
• Commercial, cost control, risk management and contract requirements awareness
• Individuals must be willing to travel within Canada and elsewhere as needed.
• Experience on construction projects and the ability to work within a fixed budget
• Strong organization, documentation, planning and communication skills.
• Expert numerical competence and spreadsheet aptitude.
• Excellent spreadsheet and word processing skills
• Certification or specialization in contract law is preferred.
• MRICS, CIQS or currently engaged in being chartered.
• Degree in Construction management, Quantity Surveying or similar.
• 5 years of experience in contract administration.
• 2+ years of major infrastructure experience
• Experience working in a multi-national environment.
• Experience managing packages worth $2 million or more.

Compensation

The compensation range for this role is $70,000 - $90,000 CAD annually. The final salary offered for this position will be based on several factors including, but not limited to, relevant education, qualifications, experience, skills etc. We are committed to offering competitive compensation and adhering to all relevant pay transparency legislation.
