Job summary

GFT in Ottawa is seeking a seasoned Contract Administrator to join our Construction Services Group in a hybrid work environment, with regular in-office attendance in Ottawa.

You will lead contract administration and inspections on industrial projects, act as owner's representative, prepare payments, review submittals, coordinate with testers, and mentor junior staff while ensuring compliance with OPSD/OPSS and Ontario regulations.

Qualifications

  • Minimum 10 years of contract administration and inspections experience on industrial buildings.
  • P.Eng or CET is preferred.
  • Strong knowledge of OPSD/OPSS standards and Ontario regulations.
  • Proficient with Builterra platform for daily records, progress payment, tendering.
  • Ability to communicate in English and French.

Responsibilities

  • Ensure contract administration and rehabilitation activities meet contract specs and client expectations.
  • Act as owner's representative during construction with design engineers and inspectors.
  • Prepare monthly payment certificates and issue change orders.
  • Review submittals including traffic plans, shop drawings, schedules, and pour plans.
  • Coordinate with material testing and ensure compliance before construction.
  • Attend pre-construction and pre-pave meetings.
  • Review and respond to contractor RFIs.
  • Manage change on fast-moving projects and resolve promptly.
  • Support site inspections and enforce HSE compliance.
  • Mentor junior staff in inspections and contract administration.

GFT is seeking a Contract Administratorto fill a position within our Construction Services Group in Ottawa. This role follows a hybrid work model, requiring regular attendance at our Ottawa office.

What you'll be challenged to do:

The Contract Administrator is a key hire to our Ottawa team who will help us establish and grow our new Construction Management team in the national capital region. The Contract Administrator is responsible for ensuring construction and rehabilitation activities adhere to contract specifications, standards, and client expectations.

In the capacity, you will be responsible for the following:
  • Perform Contract Administration duties throughout all the phases of construction and rehabilitation ensuring adherence to contract specifications.
  • Act as the owner’s representative during construction with assistance from design engineer/s and field inspectors.
  • Prepare monthly progress payment certificates and issue Change Orders.
  • Review Contractor’s submissions including but not limited to; traffic control plans (in light of OTM Book 7), shop drawings, schedule, paving and concrete pour plans, watermain commissioning plan etc.
  • Coordinate with material testing firm to ensure all mix designs and specified materials are approved in advance of construction.
  • Attend pre-construction, pre-pave, pre-concrete pour meetings
  • Review and respond to contractor’s RFIs
  • Must be able to manage change on a fast-moving project and where necessary and achieve resolution in a timely manner.
  • Be a team player and comfortable with partnering principles and best practice.
  • Issue Certificate of Substantial Performance per Construction Act.
  • Develop necessary contractual responses in a timely manner with a goal of positioning the owner as a pro-active leader rather than reactive responder.
  • Attend site visits to support site inspections.
  • Conduct surveillance and quality audits of contractors and subcontractors to verify compliance with project specifications, quality standards, and contractual requirements.
  • Monitor and assess Health, Safety, and Environmental (HSE) practices to ensure regulatory compliance, risk mitigation, and continuous improvement in field operations.
  • Train junior staff in inspections and contract administration.
What you will bring to our firm:
  • Minimum 10 years of relevant experience in Contract Administration and Inspections onIndustrial buildings.
  • Design experience is a strong asset.
  • In-depth knowledge of OPSD/OPSS standards and construction staging.
  • Good understanding of Occupation H&S Act, the Construction Act, OPSS MUNI 100 General Conditions and Ontario Regulation 406/1excess soil management.
  • Proficient in the use of Builterra platform (Dailies, Progress Payment, Tendering)
  • Recognized as eligible or active under MTO RAQS is a strong asset.

Compensation:

The salary range for this position is $125,000.00 to $155,000.00. Salary dependent upon experience and geographic location.
