Description

Job Overview : The Contract Administration Manager will be responsible for the administration and oversight of awarded GSA and non-federal public sector contracts; Omnia / NPPGOV cooperative contracts; Premier and Vizient healthcare group purchasing organization (GPO) agreements; commercial real estate and construction industry contracts; and new purchase agreements that may impact compliance requirements for existing company contracts or those held by authorized construction partners. This role will collaborate closely with vertical segment leaders, the order entry and accounting teams, field sales representatives, and, as needed, construction partners, contract consultants, and personnel within the contract origination function.

Duties and Responsibilities :

  1. Manage and maintain contracts and purchasing agreement lifecycle (from initial solicitation response development, to implementation, sales tool deliverable development and maintenance, orchestrate renewals / extensions, while assuring that new contracts don’t create compliance issues with existing contracts).
  2. Manage all aspects of contract and quote administration, and compliance.
  3. Summarize, advise and interpret contract policies, procedures, methods, operating practices, and performance standards for DIRTT Sales Representatives and DIRTT Construction Partners in support.
  4. Review, process Prime Contracts, Subcontracts, Purchase Orders, Task Orders, Contract modifications, Letters of Authorization, Teaming and / or Non-Disclosure Agreements.
  5. Review, escalate, and / or resolve issues affecting compliance and ensure satisfaction of contract requirements as well as company and customer objectives.
  6. Work with legal counsel and coordinate execution of contracts.
  7. Complete multiple items daily, including heavy email and phone communication, database work, and administrative tasks as needed.
  8. Generate and modify reports, letters, and other documents using Word, Excel, or Adobe.
  9. Collaborate with finance on bonding and insurance requirements.
  10. Maintain departmental filing and tracking systems to support on-site audits from government agencies / SOX 404.
  11. Process online and hard-copy vendor forms and registrations, as needed, to allow Construction Partners and / or governmental end users to work with DIRTT.
  12. Complete returns using various in-house systems.
  13. Perform all general administrative duties and other duties as required.

Job Requirements :

  1. Two to five years of experience in a contract administrative support position or similar experience.
  2. Associate or bachelor’s Degree helpful but not required.
  3. Ability to read, analyze, interpret, and summarize bids, proposals, contracts, and other legal documents efficiently and effectively to verify accuracy, completeness, and compliance.
  4. Some experience in proposal and capture activities or managing proposals that require cost and pricing data.
  5. Strong knowledge of Microsoft Office, Outlook, Excel, and Contract management systems.
  6. Experience in professional procurement and contracting is a plus, especially with regards to summarizing solicitation documents and drafting detailed proposals.
  7. Maintain privileged and confidential information with the utmost integrity.
  8. Excellent verbal & written communication skills, especially for business correspondence and proposals.
  9. Ability to work well in a team environment and professionally with all levels of organization and external contacts.
  10. Strong attention to detail and personal initiative, with the ability to produce error-free work, meet deadlines in a high-paced environment, and adapt quickly to new work assignments and situations.
  11. Familiarity with Salesforce desirable but not required.
  12. Knowledge of government and commercial contract types and an advanced working knowledge of the Federal Acquisition Regulations FAR and GSA is desirable but not required. Knowledge of State, Local Government, Cooperative Contract, healthcare GPO contracts are helpful but not required.
