Job description

We are looking for a Consultant Contracts Administrator to join our Toronto office. In this role, you will be responsible for overseeing and maintaining consultant contracts and agreements. Working independently—with guidance from Project Architects—you will prepare, draft, and process contracts and other related legal documents as needed. You will also coordinate and develop the contract management workflow, including maintaining the consultant tracking database.

This is a contract position to cover a maternity leave, with a minimum duration of six months and the possibility of extension. This role has a hybrid work arrangement, requiring four days per week in the office.

Key Responsibilities

  • Responsible for developing, interpreting, reviewing and managing Consultant Contracts
  • Work closely with our in-house Client / Architect agreements specialist
  • Redline draft contracts for negotiation and discussion with external parties
  • Work one-on-one with Project Architects in interpreting and reviewing various legal documents (RFPs, IT contracts, etc.)
  • Generate monthly tracking reports on the current status of existing Consultant Contracts
  • Coordinate and respond to consultants, clients and architects in a professional and timely manner
  • Maintain / track draft and signed copies of Consultant Contracts
  • Work with various online contract portals (RAIC, OAA, AIA, AIBC) to draft, amend and finalize Consultant Contracts
  • Keep abreast of changing legislative amendments and provide updates as necessary
  • Review Request for Proposals in a timely manner
  • Engage with external counsel to address litigation issues
  • Occasionally engage with the firm’s insurance broker to understand client insurance coverage requirements

Qualifications

  • Paralegal and / or legal background
  • 5-7 years relevant experience in the construction industry or with professional services firms preferred
  • Exceptional communication skills (oral and written)
  • Ability to work with a team at all levels of an organization
