Construction Project & Office Administrator

The Construction Project & Office Administrator supports the project leadership team with day-to-day administrative activities to support project functions.

How will you contribute to the team?

To perform this role successfully, the candidate will be responsible for but not limited to the following:

  • Assist the project team with creating and managing inputs to reports, client and project correspondence, document template and content creation (such as CVs, job descriptions, Request for Information, period reports etc.)
  • Reporting and tracking of actions between the various parties and actioning as required.
  • Coordinate and attend senior meetings, undertaking the secretariat function, and assemble appropriate reference and back-up material.
  • Assist the senior team in the compilation of period reports, management and control of information, develop and refine report content.
  • Calendar and Schedule Management: Arrange meetings, travel, and events.
  • Website and Social Media content creation and management as required.
  • Vendor & Stakeholder Communication- coordinate information transfer as required for industry events and supplier days, organizing as needed.
  • Meeting Preparation: Create agendas, take minutes, and follow up on action items.

Education and Experience:

  • Post secondary education in a related discipline or equivalent experience.
  • A minimum of 10 years of related experience.
  • Proven successful coordination experience, ideally on major engineering projects.
  • Strong organizational and time management skills.
  • Excellent attention to detail and accuracy.
  • Strong written and verbal communication skills.
  • Ability to work well under pressure and balance multiple tasks.
  • Comfortable working with MS Office Suite of projects as well as presentation and desktop publishing software.

Project Overview:

The Bloor-Yonge Capacity Improvements Project is a significant undertaking by the Toronto Transit Commission (TTC) to expand and modernize Bloor-Yonge Station—Canada’s busiest subway hub. This initiative is focused on meeting both current and future ridership needs by improving the station’s efficiency, capacity, and accessibility.

The Kenaidan Murphy Joint Venture (KMJV) is committed to transforming the station to enable faster, more reliable, and more comfortable travel throughout the Greater Toronto Area. The project will deliver upgraded facilities, contributing to a safer, cleaner, and higher-capacity subway system for passengers.
