***This position is an 18-month maternity leave contract for a Construction Project Coordinator based out of our Calgary office and does require site visits***

About the role:

As a Project Coordinator within our REMS Team, you'll play a pivotal role in working closely with the Senior Construction Project Manager to assist in effectively running projects in Alberta and will be responsible for providing proactive and professional office administrative support to the Calgary Operations Manager and REMS Projects team. This is an opportunity to leverage your expertise to help us lead our industry into the future.

In this role you will

  1. Provide administrative support to the Senior Construction Manager and Operations Manager, including supporting the Team with Projects (i.e., attending site meetings and walkthroughs, overseeing completion of landlord’s work, mechanical upgrades, cosmetic upgrades, tenant buildouts, and others).
  2. RFP Generation, Interviewing, Analysis & Recommendations of Project Team Assembly Including: Architect/Interior Designer/Procurement Agent o Bidding General Contractor Services & Hard Bid Analysis.
  3. Manage and monitor the project tracking sheet and update as required.
  4. Assist with obtaining pricing on projects.
  5. Coordinate communications and schedules with Property Managers, Operations, and accounting.
  6. Plan and coordinate meetings and organize site tours as required. Run meetings, set agendas, maintain project directories, issue meeting minutes, etc.
  7. Assist with operational filing and reporting, including SLA reporting, reviewing monthly Operations Reports for Sites, and updating the contract tracking log as required. Ensure signed approvals are filed appropriately.
  8. Manage approvals for expense reports and credit card reconciliations while keeping the team updated on travel and corporate policies.
  9. Contribute and participate in developing new operational systems and processes and assist with changes in management activities.
  10. Coordinate special projects on behalf of REMS Calgary Operations Team.
  11. Other projects and duties as assigned.

What you bring:

  1. Solid understanding of Microsoft Office skills with mid-level experience with Excel and Teams/SharePoint.
  2. Valid driver’s license and your own vehicle (attending sites).
  3. Background in at least one of the following areas: Project Management, Architecture, Construction Management, or Building Operations.
  4. Client Focus – dedicated to meeting the expectations and requirements of internal clients, acts with client in mind, establishes and maintains effective relationships, and gains their trust and respect and communicating effectively and managing regular updates.
  5. Ability to interact with multiple stakeholders and proactively anticipate their needs.
  6. Dealing with Ambiguity – can effectively cope with change, shift gears comfortably, decide and act without having the total picture, and comfortably handle risk and uncertainty.
  7. Ability to Read & Understand Construction Drawings & Specifications.
  8. Analyze & negotiate Change Orders.
  9. Understanding the project life cycle. Demonstrate the ability to drive the organization to use the data to drive risk identification, quantification, response, and control concerning the master schedule.
  10. Preferred educational requirements to perform the job: Project Management and Building Operations experience.
  11. Relevant Years of experience required to perform the role: 3 to 5 yrs of exp.
  12. CRE experience/background to perform the role: Preferred.
