Construction Project Coordinator
As a Construction Project Coordinator, you will play a vital role in supporting the successful execution of assigned construction projects. Reporting directly to senior leadership and working closely with both the management team and site supervisors, you will be responsible for organizing and maintaining project documentation, coordinating communication between internal teams, suppliers, and clients, and assisting with logistics and administrative tasks. The role ensures projects remain well-structured and on track from initiation through to closeout. While this is primarily an office-based position, occasional site visits may be required.
Key Responsibilities
- Assist with project planning, scheduling, and the preparation of safety documentation
- Organize and maintain key project documentation, including RFIs, addendums, shop drawings, O&M manuals, and as-builts
- Coordinate material orders, track deliveries, and support overall logistics
- Manage daily purchasing and purchase orders, ensuring competitive pricing is sourced
- Prepare change orders and track extra work for client billings
- Draft project correspondence, proposals, and related documentation
- Maintain effective communication with internal teams, clients, and suppliers
- Provide administrative and coordination support to field teams
- Follow up on outstanding project requirements and deliverables
- Track and troubleshoot issues through to resolution
- Prepare invoices and progress claims
- Coordinate with accounting and follow up on outstanding payments at regular intervals (45 days, 60 days, and weekly thereafter)
- Support project closeout activities, including final documentation and manuals
- Assist with estimating and material take-offs
- Perform other duties as assigned by senior management
Qualifications and Experience- Post-secondary education in a relevant discipline, or a combination of education and equivalent work experience
- Project Management certification is an asset
- Bachelor’s degree in mechanical engineering is considered a strong advantage
- Minimum 2 years of experience in a project coordination or similar administrative role
- Solid understanding of construction workflows and documentation processes
- Strong proficiency with Microsoft Office Suite (Outlook, Word, Excel, Teams) and project management software
- Familiarity with plumbing, heating, and ventilation systems is an asset
- Valid driver’s license
