Overview

Full Time Support Group Staff – Atlantic, Ontario, or Manitoba (CA, Work from home). Pinchin is recruiting for a Compliance Specialist to join the Finance & Administration department in Canada. This position can be based out of Atlantic, Ontario, or Manitoba on a remote or hybrid basis. The Compliance Specialist will provide back up support to our Security Clearances team and perform additional adhoc duties as required.

What You Do

A Day in the life of a Compliance Specialist at Pinchin:

  • Vendor Onboarding: Respond to requests for vendor onboarding and evaluate submissions to ensure they meet Pinchin’s requirements; enter vendor setups in Vision and maintain accurate records; liaise with Accounts Payable during payment cycles; follow guidelines and seek exception reviews from the risk team when needed; correspond with executive level employees; track WSIB and WCB for vendors and update Vision for vendors out of compliance; analyze and verify data consistency, completeness, and accuracy of vendor and insurance information.
  • Client Onboarding: Ensure client requests are handled accurately and efficiently with acceptable turnaround times; serve as the point of contact and compile information for annual prequalification documentation; interact with potential clients to set up in SharePoint (Client Grove) and Vision; review client information against criteria (e.g., retainer policies); maintain Client Grove; identify opportunities to streamline and automate the client engagement process; liaise with Accounts Payable, Safety, IT, Security, and other departments to gather information; respond to client requests in a professional and timely manner.
  • Insurance: Understand RFP/Tender documents and prepare insurance certificates; liaise with our Insurance Broker for complex requests; prepare WSIB and WCB Clearance Letters as requested.
  • Security Clearances: When required, assist the Security Clearances Team with maintaining employee and organization security clearances and provide efficient support to ensure compliance with Company, Government, and Client security requirements.
What You Bring To The Pinchin Team
  • Good understanding of Insurance and risk mitigation and/or strong problem-solving skills with the ability to learn and understand insurance
  • Demonstrates good judgement and critical thinking when investigating and solving problems
  • Works independently with acceptable supervision
  • Excellent interpersonal skills
  • Post-secondary education with a minimum 5 years’ experience in administration is preferred
  • Working knowledge of the Office suite of products
  • Ability to obtain PWGSC Secret (Level II) Security Clearance; to be eligible, must NOT have a Criminal Record and must have resided in Canada for the last 5 years with no stays in foreign countries exceeding 6 months during those 5 years
  • Ability to complete and maintain certification in the PSPC Controlled Goods Designated Official Certification Program
  • Confidentiality and professional manner
