Position : Administrative Assistant Term: Short-term (Until September 19th)

Department : Administration Hours:35 hours per week

Summary:

Fort Albany First NationBand Representatives and Prevention/Intervention Department ensures that thebest interests of the children who are involved and/or at risk of becominginvolved within Child Welfare. The Administrative Assistant to the BandRepresentative and/or Prevention Program Supervisors to provide general administrativeservices including receptionist duties for assigned office in all matterspertaining to child welfare protection services ensuring alignment to FAFNpolicies and procedures as well as the legal framework of the Child and FamilyServices Act.

DUTIES AND RESPONSIBILITIES:

A. General Administrative Duties

· Typesand ensures accuracy and proper distribution of reports, memos, forms, andother material for assigned service teams.

· Composesand types of routine letters from verbal and written instruction.

· Sortsand distributes incoming and outgoing mail.

· Providesreception relief on a rotational schedule including answering and directingtelephone calls, message taking, greeting, and providing information to clientsand public.

· Providesinformation and orientation to front line workers and collaterals regardingadministrative procedures.

· Maintainsand balances petty cash expenditures.

· Maintainsa filing both manually and electronically for service teams.

· Coordinatestravel plans for staff and clients.

· Assistsin bookings and organization of conference rooms in the office and arrangescleaning services required to these areas.

· Overseeslocal travel arrangements for staff; vehicle assignment and schedule,distribution and tracking of Land Taxi/Water Taxi/Helicopter Vouchers.

B. General Organizational Responsibilities

· Participatesin regular supervision with Supervisor, including an annual performance review.

· Participatesin staff meetings and take minutes on a rotational basis with other admin.support staff.

· Providescoverage and back up support when other admin. support team members are absent.

· Ensuresan organized and clean office space for staff, clients, and visitors.

· Assistswith short-term projects or other duties as required.

QUALIFICATIONS:

· Ontario Secondary School Diploma.

  • OfficeAdministration certificate or diploma.
  • Relevantwork experience in secretarial/office setting.
  • Excellentcomputer skills with direct experience on Microsoft Word, Outlook, Excelprograms and online meeting platforms.
  • Abilityto speak Cree will be considered an asset.
  • Excellentorganizational skills and demonstrated ability to set priorities and workeffectively under pressure.
  • ValidClass “G” Driver’s Licence Required.
