Position Summary:

Concert is continuing to grow in communities across Canada and we are looking for a talented professional to join the Concert Property Management team as a Community Manager! Reporting directly to the Property Manager or Senior Property Manager, the successful candidate will manage, co-ordinate and supervise the work of the Resident Services and Maintenance staff in our Resident Services office in Toronto. This is a temporary position with the possibility of becoming permanent.

What you'll be doing:

  • Manage, co-ordinate and supervise the work of the administration and leasing staff on site: including training, scheduling, monitoring job performance, disciplinary action, probationary and annual reviews along with the Property Manager.
  • Conduct regular building, ground and suite inspections and follow up with any action required.
  • Provide guidance to housekeeping and maintenance throughout the property:
    • Establish and monitor maintenance schedules for on-site maintenance staff.
    • Assist with the training and monitoring of maintenance staff to ensure quality work.
    • Co-ordinate and supervise routine and preventive maintenance programs required for the building as performed by outside contractors.
  • Liaise with contractors and other suppliers and obtain quotes for work required.
  • Ensure that the performance of all contractors (work and customer service) meet Concert’s standards.
    • Oversee and assist with the ongoing leasing of vacant suites:
      • Processing of suite rental applications.
      • Completion and approval of credit checks and other reference checks.
      • Review and administer tenancy agreements.
    • Prepare rent increase notifications.
    • Oversee the collection of rent and other income as due from residents and carry out the associated prescribed banking procedures in a timely manner.
    • Issue late payment notices, eviction notices and other necessary collection procedures.
    • Provide positive customer relations with the residents, dealing promptly and professionally with resident concerns.
    • Deal with resident tenancy violations.
    • Attend Landlord and Tenant Board Tribunal hearings as required.
    • Order goods and services as required and approve invoices for payment.
    • Ensure on-site records and files are up-to-date and in good order.
    • Administer and participate in the fire and life safety operations and procedures required at the property.
    • Participate in the preparation and implementation of marketing plans and advertising programs for the property.
    • Provide appropriate input for preparation of the annual operating budget and monthly reports.
    • Assist with training staff in leasing techniques, customer relations and administrative duties.
    • Review rental rolls and ensure information provided to head office accounting department is accurate and timely.
    • Liaise with head office accounts payable property accountants and payroll administrator to ensure records are complete, up-to-date and on time.
    • Ensure all community and building information is current and co-ordinate changes with head office.
    • Conduct frequent market surveys, keep building and community information current and provide input with market rental rate changes.
    • Review leasing, administration and inspection forms and provide input on changes.
    • Provide information for the resident newsletters.

    Required Knowledge and Skills:

    • Knowledge of all governing legislation such as Residential Tenancy Act; Personal Information Protection Act (PIPEDA), Building Code, Fire Code and Occupational Health and Safety.
    • Knowledge of building systems, HVAC operation and general building maintenance.
    • Excellent oral and written communication skills.
    • Leasing and marketing experience.
    • Good working knowledge of Microsoft Office (Excel, Word, Outlook), Yardi Voyager and Yardi RentCafe.
    • Leadership and coaching.
    • Ability to handle multiple tasks and meet deadlines under time constraints.
    • Preference will be given to candidates with previous building management experience managing community operations and staff.
    • Valid G Drivers Licence required.
