Overview

Job Opportunity – Community Administrator (Customer Service)

Location: Ottawa, ON • Industry: Real Estate • Employment Type: Full-Time, Permanent • Salary: $55,000 per year

Responsibilities
  • Process and record rent payments, prepare deposits, and monitor resident ledgers
  • Report on accounts receivable and manage rent arrears
  • Prepare and deliver legal documentation (e.g., Termination Notices, Rent Increases) in accordance with the Residential Tenancies Act (RTA)
  • Handle resident move-ins and move-outs, including deposits and account balances
  • Maintain accurate and confidential resident records
  • Respond to resident inquiries, complaints, and emergencies – during and outside office hours
  • Deliver legal notices (Notice to Enter, Notice to End Tenancy, etc.)
  • Code invoices and support accounts payable processes
  • Provide leasing support when Leasing Representative is unavailable
  • Order office supplies and manage general administrative tasks
  • Prepare reports (Delinquency, Pre-Authorized Payment, etc.) as needed
  • Participate in the on-call rotation for after-hours support
  • Promote and support sustainability and corporate responsibility initiative
Qualifications
  • Post-secondary education in Business Administration or a related field (an asset)
  • 1+ years of experience in residential property management (an asset)
  • Strong verbal and written communication skills (English)
  • Proven customer service orientation and resident relations skills
  • Ability to build strong working relationships with residents, contractors, and internal teams
  • Self-motivated, professional, and adaptable to change
  • Strong organizational skills with the ability to manage multiple priorities under pressure
  • Excellent problem-solving and conflict resolution skills
  • Detail-oriented, results-driven, and capable of handling confidential information
  • Proficiency in Microsoft Office (Word, Excel, Outlook)
  • Experience with Yardi or other property management software is a strong asset
