Communications and Outreach Coordinator

The Communications and Outreach Coordinator position is hybrid with a minimum of four days per week on-site at Koffler Arts. Additionally, the incumbent will be required to work select evening and weekend hours (accruing an equal number of lieu hours).
Reporting to the Director of External Relations and the Head of Artistic Engagement, the Communications & Outreach Coordinator is a key member of the Koffler Arts team, coordinating communications plans, outreach activities, and public programming.
In collaboration with the Director of External Relations :
- Plan and execute content calendar for social media accounts
- Craft and distribute compelling Koffler Arts e-newsletters and promotional communications; analyze data to refine strategies
- Capture, edit, or design visuals / assets (photos, video, graphics, etc.) for social media, website, e-newsletters, print and publications, as well as create promotion materials for Artistic Engagement events / programs
- Maintain and update the Koffler Arts website and online event boards with key information about exhibitions, events / programs, and announcements
- Coordinate exhibition openings, including compiling invitation lists and sending key information to partners
- Coordinate with the Director of External Relations to ensure messaging is in line with Koffler Arts style, voice, audience, etc.
- Other duties related to communications as assigned
In collaboration with the Head of Artistic Engagement :
Imagine possible new audiences in function of each exhibition, event or performance and make appropriate connections – by telephone, email and in-person meetings – to establish new partnerships and nurture relationshipsPromote group visits to K-12 schools, colleges / universities, community groups, clubs and organisations from diverse sectors, houses of worship (synagogues, churches, etc.), summer camps, senior residences, professional associations, etc. across the GTAEnsure group visits are on the calendar with designated staff / volunteer tour leader, and lead select group visitsContribute to research and development of Educator / Family Guide contentCoordinate select Artistic Engagement events / programs–smaller and larger in scale–from conception to completionDraft and email Letters of Agreement for event / program presenters and process paperwork for fees / honoraria and reimbursements; share promotional materials with presenters so they can also promote events / programsCollect and collate attendance / statistical data for group visits and Artistic Engagement events / programs including quantitative (numbers and demographics) and, when possible, qualitative data (testimonials)Other duties related to outreach and events / programs as assignedAdditional responsibilities :
Monitor general inquiries inboxes, responding to questions about exhibitions, events / programs, and group visits, and respond in a timely manner with information and confirmationsCreate accounts receivable and / or submit accounts payable invoices related to communications / marketing and events / programs and track budgetsCoordinate photography, videography and / or audio recording for exhibitions and select programs and eventsSkills, Interests and Qualifications :
University degree, college diploma, or equivalent experience in the arts or educationInterest in contemporary visual art, performing arts, and literary artsKnowledge of Google Suite (including Gmail, Docs, and Sheets), Adobe Creative Suite, Mailchimp, Eventbrite, and Content Management Systems. Experience with Google Analytics 4 and Asana is an assetExperience in managing corporate / branded social media accounts and scheduling toolsThe capacity to work independently and proactively, with wide-ranging responsibilities and multiple, concurrent projectsCollaborative spirit working with a small teamExcellent written and verbal communication skillsCommitment to positive visitor experience embracing values of diversity, equity, and inclusivity.Confidence with public speaking and experience with introducing public programs and leading exhibition tours is an assetExperience conducting research using a broad range of resourcesFlexibility, adaptability, eagerness to roll up sleeves and get things done in a fast-paced work environmentPunctuality, reporting on time and prepared to perform dutiesA desire to be a key member of an adventuresome arts organisationPlease submit a cover letter (1 page) and résumé (2 pages max.) in one PDF document with title “Comm&Outreach - LASTNAME_FIRSTNAME” to admin@kofferarts.org.
