Position: Communication Assistant - Transportation

Salary Range: Band 2: $ 59,641.00 - $ 71,123.00

Effective September 1, 2025 Band 2: $ 61,132.00 - $ 72,901.00

Location: Halton Student Transportation Services, Burlington

Work Schedule : 17.5 hours/week, 12 months/year

Halton Student Transportation Services (HSTS) provides pupil transportation services to approximately 30,000 students who attend schools within the Halton District School Board, and the Halton Catholic District School Board. The consortium is governed by a Board of Directors representing both school board members with an annual budget of approximately $33,000,000.

Position Summary

The Communication Assistant provides administrative support to the Halton Student Transportation Services’ (HSTS) Management team including managing the scheduling and revision of key administrative policies, operational procedures and organizational plans. Supports student data integrity within the geographic information systems (GIS) based student transportation software, BusPlanner by monitoring, investigating and verifying student addresses are accurate and geocoded. Additionally, this position is responsible for the compilation and distribution of key stakeholder communications throughout the year including the distribution of specialized student transportation requirements to service providers in accordance with the Accessibility for Ontarians with Disabilities Act (AODA).

Key Responsibilities

  • Student Information Management
    • Monitor and investigate BusPlanner geocode address errors, identify the source(s) of the inaccuracies and contact the school administrative staff to request/communicate the corrective action required in their student information system to rectify the address error.
    • Managing submitted Student Travel Plans (STP) to ensure compliance with AODA.
    • Managing submitted medical peril alert forms to ensure service providers/drivers have up to date student medical information in the event of an emergency.
    • Assist and support new student information management initiatives.
  • Communications
    • Preparing, organizing, co-ordinating of student/parent information packages for distribution throughout the school year.
    • Create annual HSTS school year calendar to incorporate Provincial and member board’s approved school year calendars and distribute to key internal and external stakeholders.
    • Maintains/manages up to date contact lists for the HSTS staff and management team including, emergency contacts for: HSTS Board of Directors, member Boards senior Administrative staff, member Boards school staff, Bus/Taxi Companies, community partners and media.
    • Maintain office communication boards and staff quick reference binder documents.
    • Review, edit and collaborate on social media communications/content.
  • Supporting the General Manager
    • Review and edit confidential documents for the General Manager.
    • Managing the scheduling and revision of key administrative policies, operational procedures and organizational plans.
    • Maintains a log of administrative policy and operational procedure revision dates, and ensures reviews are scheduled and completed within set timelines.
    • Assists the General Manager in the development and updates to the HSTS Organizational Plans including Communication Plan, Strategic Plan, Operational Plan, Business Continuity Plan etc.
    • Ensures any revisions are updated internally and externally on the HSTS website and communicated to all applicable stakeholders.
  • Supporting HSTS Operations Staff
    • Provide customer service backup to HSTS Transportation Officers as required through phone and email communications.
    • Assist in the annual courtesy seat allocation process, through updating of student records and transportation assignments.
    • Maintain and track accurate crossing guard location layer within the BusPlanner GIS map.
    • Review and edit report data exported from BusPlanner for HSTS reports.
  • Other responsibilities as required.
Qualifications

  • College diploma in the area of Business Administration (or equivalent).
  • Two (2) years of experience in a related field.
  • Sound knowledge of Microsoft Office applications.
  • Familiarity with GIS maps and/or BusPlanner software would be an assset.
  • Familiarity with member board student information system.
  • Excellent interpersonal and communication skills, both verbal and written.
  • Ability to organize, prioritize and complete job tasks in a fast paced environment.
  • Ability to work independently and as a member of a team .
