The Work

The Commercial Administrator is responsible for reviewing and processing commercial subsequent and co-lending facility advances and repayments, recommending and recording partial discharges, performing data integrity checks, producing various reports, and completing administrative duties as required by management.

The incumbent will be reporting to the Manager, Commercial Administration, and will work closely with the Commercial Underwriting teams, Senior Commercial Management, Mortgage Services, and Accounting.

The core parts of your role would be to:
  • The Commercial Servicing Administrator will support the Commercial Servicing Specialist by handling daily loan operations including monthly payment reconciliations, subsequent advances, and repayments, ensuring automation on PPLUS as much as possible, and managing priorities to meet deadlines. (40%)
  • Submit partial discharges for approval, update the monthly Inventory Report with unit sales, review Inventory loans for quarterly paydown requirements. (35%)
  • Communicate daily with internal contacts (funders, underwriters, managers, and sales staff) and external contacts (lending partners, brokers, solicitors, clients) to ensure timely transaction processing and excellent customer service. (10%)
  • Coordinate with Mortgage Services' Payments Department regarding loan payment inquiries. (10%)
  • Contribute to special projects, including developing user guides and updating policies and procedures within Commercial Administration. (5%)

  • Bachelor’s degree in Commerce or equivalent work experience (accounting skills are essential)
  • Minimum of 2 years’ mortgage administration experience
  • Comprehensive knowledge of real estate transactions and AML
  • Proficiency in MS Office (especially Excel), CyberQuery, and PPLUS
  • Experience in data analysis
  • Outstanding attention to detail
  • Strong time management and organizational skills for handling multiple priorities
  • Excellent verbal and written communication skills; able to respond clearly, concisely, and professionally
  • Bilingual skills are an asset
