Job details

Job purpose: Reporting to the Director of Office Operations and Office Manager, the Quotes Administrator will be responsible for generating and delivering timely and accurate quotes. They will also support ensuring that the parties to a contract perform their due diligence to comply with all contractual aspects. The Quotes Administrator partners with Operations and Area Managers in business development efforts and introducing value-added services to existing and potential customers.

Key Accountabilities:

  • Generates and delivers timely and accurate quotes
  • Assists with preparation for proposals for major quotes in conjunction with the Director of Operations, Operations Managers, and Area Managers
  • Maintains tracking when quotes are awarded/fulfilled
  • Supports contract terms through electronic document management systems and spreadsheets to track transactions and keep records

Duties and responsibilities:

  • Receives and prepares quotes, processes specifications, and other exhibits as required
  • Reviews documents from Supervisors/Managers and Field Administrators for conformity and clarity
  • Sends approved/finalized quotes to clients
  • Compiles data for preparing quotes and files on server
  • Provides supportive role to additional Field Offices throughout the company
  • Compiles data for Operations Managers with a summary of monthly quoted work
  • Compiles data for awarded jobs in conjunction with Document Control
  • Liaises with Supervisors/Managers for awarding of quotes
  • Acts as a liaison between Supervisors/Managers and clients if required
  • Performs data entry for Employee expenses to ensure timely reimbursement
  • Performs data entry for Visa transactions for accurate costing and reporting
  • Provides additional support to Accounts Payable as needed
  • Performs other duties as required by the Director of Office Operations or Office Manager

Qualifications:

  • Minimum of 2 years' experience in a Quotes Admin role
  • Intermediate computer skills (e.g., MS Office including Excel and Word)
  • Team player with good relationship-building skills
  • Flexible and receptive to feedback
  • Strong communication, organizational, and interpersonal skills
  • Proven leadership capabilities
  • Self-starting and collaborative attitude

Working conditions: Office environment, working to deadlines, some high-stress situations

Physical requirements: May require long hours or weekends occasionally

Job Type: Full-time

Pay: $25.00-$27.00 per hour

Expected hours: 40 per week
