Job description

The Team:
The Duncan Multi-Services Administrative Team is an established and tight-knit team known for its high energy, fast pace, and commitment to delivering exceptional service. Our team of an Office Manager, Team Assistants, and Administrative Assistants supports approximately forty staff across a wide range of services. We thrive on flexibility, collaboration, inclusivity, and a strong sense of teamwork. Working alongside a variety of roles - including Social Workers, Team Leaders, contracted agency staff, caregivers, finance teams, and members of the public – you’ll be part of a supportive network that values diverse perspectives and shared success.

The Role:
In this role, you’ll take on a variety of key responsibilities that keep things running smoothly—from liaising with other departments and ministries to assisting clients with forms and inquiries, entering data into databases, and following records management procedures. You’ll also support daily operations across the office and step in for colleagues when needed to keep everything on track. Your work will have a real impact—by helping things move efficiently, you’ll ensure timely payments to service providers and prompt responses to public inquiries. Qualifications:
Education and Experience Requirements

  • Secondary School graduation (Dogwood, GED) and six (6) months related experience; OR
  • Evergreen and one (1) year related experience; OR
  • An equivalent combination of education and experience may be considered.

Months/ years of related experience must be in each of the following:

  • Experience working in a computerized environment using various computer applications and databases. (For example: Microsoft Office applications including Word Excel, Outlook, Teams)
  • Experience providing quality customer or client service, carrying out duties and responding to clients'needs in a professional manner.
  • Experience working independently and as a team member with a multi-disciplinary environment and with other professional staff, client, and service providers in an office setting.

Preferences may be given to applicants with:

  • Six (6) months’ administrative experience working with vulnerable children and families in a human/social services setting.
  • Experience using Ministry of Children and Family applications: Integrated Case Management (ICM) and/or Management Information Systems (MIS) computer applications.
  • Post secondary certificate or coursework in an Administrative Business Skills program with the required combination of education and experience.

About this Position:
Flexible work options are available; this position may be able to work from home up to one (1) day a week subject to an approved telework agreement.
