The Clinical Research Support Assistant acts independently to provide quality and confidential administrative support to the Director and their portfolio, while ensuring a person-centred and professional approach. This role plays a central role in supporting and coordinating research services and clinical trials by making effective decisions related to the identification, analysis, problem-solving and distribution of presenting issues in the research department.
Under the supervision of the Director, the Clinical Research Support Assistant provides knowledge and expertise for the preparation of correspondence, reports and other documents, researching, gathering and compiling data. The incumbent will use effective problem solving, decision-making and prioritization skills to ensure that all issues and correspondence are dealt with in an efficient manner, either through direct handling or referral to the appropriate individuals. The Assistant, acting as the department’s first point of contact, will help to maintain a welcoming environment, ensuring that departmental operations run smoothly.
Education & Experience
- Minimum 2 year post-secondary diploma in Office Administration (medical office administration preferred) or equivalent combination of education, training, and experience;
- Bachelor’s degree in health related field preferred
- Two years of experience working in an administrative environment with experience in minute-taking, preparing agendas, participating and coordination of meetings required
- Experience in clinical research preferred
- Education or experience in accounting and finance is considered an asset
- Course on Research Ethics (CORE) certification on research is an asset
- Experience with research administration in Southeastern Ontario, including use of the Tools for Research at Queen’s (TRAQ) system, research financial management and understanding of Health Sciences Research Ethics Board (HSREB) is an asset
- Demonstrated advanced computer skills including the use of Microsoft Office Suite of products (Word, Outlook, PowerPoint, Excel, Project, Visio, and Access); ability to use other software applications
Position Duties & Responsibilities
- Prepares briefing notes and correspondence, researching and assessing relevant information and developing communication to the audience
- Supports the Director and portfolio leaders in the development and startup of new programs and pilot projects
- Creates flow charts, process maps and regularly updates action plans for project work in collaboration with the portfolio leaders
- Handles confidential and sensitive information, including information related to research participants and health information
- Provides administrative support for Director of Research & Innovation, including the organization and maintenance of daily calendar/schedule proactively and independently, ensuring that relevant information/documentation related to meeting discussion is brought forward in advance of scheduled meeting, important meeting materials are flagged for the Director
- Assists with research reporting as requested by the Director, Senior Leadership Team and the Hospital Board
- Supports other research staff and initiatives as required
