Clinic Support Worker
Full-Time Regular Position at 1.0 FTE
Summary
We are seeking a Clinic Support Worker to join our interdisciplinary HIV and Hepatitis C Virus (HCV) Clinical Service Program. The Clinic Support Worker is responsible for maintaining a respectful and safe environment in the clinic and providing initial and ongoing personal contact via telephone and virtual means to clients, visitors, and staff. The role involves working with other staff to ensure smooth reception operations, performing secretarial and administrative duties, and supporting outreach efforts, which may include offsite work.
The Gilbert Centre, established in 1995, is a not-for-profit organization serving individuals affected by HIV, HCV, and other STBBIs, as well as supporting and celebrating 2SLGBTQ communities in Simcoe County and Muskoka Region. The Centre covers a diverse geographic area with urban and rural settings.

Essential Duties and Responsibilities
- Foster a welcoming environment through sensitive interactions, ensuring safety and respect in the waiting area.
- Identify clients' needs, provide appropriate referrals and information.
- Build rapport with clients to promote trust and effective service utilization.
- Coordinate client services by scheduling appointments with specialists and informing clients of schedules.
- Maintain and update charts and records both manually and electronically.
- Prepare referrals and correspondence as directed by clinical staff.
- Manage appointment scheduling and maintain resource and referral directories.
- Handle incoming and outgoing mail and manage document systems and office supplies.
- Operate telephones, including message retrieval.
- Assist in programs such as harm reduction resource distribution.
- Maintain and utilize referral lists for accessing external resources like mental health professionals.
- Support community events related to HIV and HCV, such as World AIDS Day and the Red Scarf Campaign.
- Adhere to GIPA/MEPA principles and activities.
- Use funder reporting tools (e.g., OCHART, OCASE, TREAT) for tracking and reporting.
- Monitor and evaluate program activities, making recommendations for improvements.
- Maintain effective working relationships with staff through regular meetings.
- Engage with community participants, volunteers, and participate in community programming.
- Collaborate on projects that enhance the Centre's programs and services.
- Perform other administrative and operational duties as required.
- Follow all health and safety protocols.
Qualifications
- Ability to respond quickly to emergencies, including opioid overdoses.
- Secondary school diploma.
- Medical secretary certificate or equivalent experience.
- 2-5 years of office experience in a health setting or willingness to learn.
- Knowledge of Accuro EMR is an asset.
- Proficiency in typing and using computer applications (word processing, databases, spreadsheets).
- Knowledge of additional languages such as French is an asset.
- Strong organizational skills and experience in community health or social services preferred.
- Training or willingness to learn behavior de-escalation techniques.
- Experience working with unhoused communities is an asset.
- Sensitivity to diverse health issues and experience with marginalized populations, including PWUD, sex workers, 2SLGBTQ individuals, and those living with HIV/HCV.
- Ability to work independently and collaboratively, with flexible scheduling.
- Valid G class driver’s license, access to a vehicle, and willingness to travel within the region.
- Comfort discussing sexual activity and drug use openly and non-judgmentally.
Working Conditions
- Walking 3-5 km per shift in various weather conditions.
- Lifting up to 20 lbs.
- Standing for extended periods.
- Carrying a backpack while providing outreach.
- Frequent computer use.
Additional Information
- 35 hours per week.
- Hourly wage of $25.03 or approximately $45,554.60 annually (pro-rated).
- Eligible for health benefits after three months.
- Union: CUPE local 1813.14.
