The Department Clinic Clerical Assistant (CCA) for Outpatient Medicine provides clerical support for reception, new referrals processing, information management, patient administrative services, and ensures the clerical administration and operation of the patient services department. Performs other duties as required.
Job Duties and Responsibilities
Reception (Patient/People Engagement/Experience)
- Greets visitors, staff, professional staff, learners, and volunteers, directing them appropriately and providing assistance.
- Registers patients, confirming/validating demographic, insurance (including OHIP), and other information.
- Explains hospital/department policies and procedures to patients and visitors.
- Answers phones, manages faxes, responds to inquiries or directs them as needed.
New Referrals Processing and Information Management
- Receives, logs, and reviews referrals for completion, follows up as needed.
- Enters patient info and schedules appointments in Epic.
- Assists new patients with questionnaires and responds to questions.
- Ensures patient discharges are processed and charts sent to Health Records.
Patient Administrative Services
- Coordinates patient information, facilitates communication, and manages flow of information.
- Updates demographics, collects registration, billing, and accommodation info.
- Handles patient and family questions, escalating concerns as needed.
- Books outpatient appointments, triages referrals, and follows up on cancellations and rescheduling.
- Explains test/visit preparations within scope.
- Liaises with internal/external partners for tests and appointments.
- Books interpreters and transportation as needed.
- Notifies staff of patient movements and updates information timely and accurately.
Clerical Administration and Department Operations
- Manages physician bookings.
- Orders supplies, maintains inventory.
- Processes financial transactions, liaises with Accounts Receivable.
- Participates in unit huddles, completes checklists, manages mail and messages.
Scheduling, Timekeeping & Payroll Support
- Supports staff scheduling and timekeeping, liaises with WMO.
Epic-Specific Duties
- Updates patient demographics, schedules follow-ups, initiates service requests in Epic.
Other Duties
- Makes reminder calls, scans info, tracks responses, manages transfer paperwork, stocks supplies, updates sheets, takes minutes, supports leadership, orders forms, and adapts to a dynamic environment.
Qualifications
Educational
- High school diploma or equivalent; healthcare admin certifications a plus.
- Post-secondary education or coursework in healthcare admin preferred.
- Medical terminology course or experience preferred.
Experience
- 1-2 years administrative experience preferred.
- Experience in healthcare settings and customer service desirable.

- Proficiency in computer applications, Epic familiarity.

- Time management, organization, communication, teamwork, accuracy, adaptability, patient/family communication skills.
