Job Description

The Clinic Administrative Assistant plays a key role in supporting our team and Clinic Management. This role involves assisting with administrative tasks related to scheduling, operational resources, EMR, and communications support. It is a full-time position that requires providing direct treatment in sessions on a hybrid basis (25-75%), balancing administrative support functions.

  • Provides administrative support to Management and Technicians.
  • Supports daily opening procedures (M-F 7:30am) and some Saturday morning sessions.
  • Assists with the daily schedule to ensure sufficient coverage and efficient operations.
  • Updates records in EMR, including patient information and timesheets.
  • Supports treatment sessions as necessary.
  • Performs office management tasks, including maintaining records and ordering supplies.
  • Organizes and distributes supplies, materials, and equipment. Maintains cleanliness of the clinic.
  • Provides support to Clinic personnel during break coverages and transition periods.
  • Contributes to a motivating therapy environment.
  • Directly provides one-on-one naturalistic play-based therapy in-clinic.
  • Implements specified programs and procedures.
  • Communicates regularly and professionally with your Program Supervisor.
  • Continuously develops your job knowledge and advances your career.
  • Availability during standard operating hours from Monday to Friday, 7:30am to 5:30pm, with occasional coverage on Saturday from 9am to 1pm.
Qualifications

Education: High school diploma with administrative support experience.

Availability: Monday - Friday (7:30am - 4:30pm), occasional Saturday sessions (9am - 1pm).

Excellent verbal and written communication skills.

Excellent time management skills with a proven ability to meet deadlines.

Ability to function well in a high-paced and sometimes stressful environment.

Active RBT certification or willingness to obtain one.

Proficiency with Google Workspace, Microsoft Office Suite, and the ability to learn new systems.

Maintain empathy and promote positive teamwork and communication.
