Job description

Job type : Full-time, permanent

Location : Remote, or from our Calgary, Toronto, or Vancouver offices, as preferred

Reports to : Director of Operations

We're seeking a Client Service Representative to join our quickly growing and passionate team.

With flexible hours, you'll work across all Canadian time zones to provide full client and broking support to Client Executives and broking teams.

Responsibilities include, but are not limited to :

  • Supporting the processing needs of our Client Executives and Brokers including :
  • Determining strategy for renewal action plan with client executive and / or broking team and preparing pre-renewal schedules, renewal application requests and communications to clients.
  • Monitoring and triaging emails received in centralized inboxes for servicing teams.
  • Preparing certificates, motor vehicle liability slips and other proofs for all clients including ad hoc and batch requests.
  • Monitoring system activities for upcoming renewals to prepare certificate template for upcoming renewals.
  • Preparing certificate template for new clients.
  • Reviewing documentation from insurers for accuracy, liaising with insurers or servicing team on changes, and processing documentation.
  • Working across time zones, managing, and preparing other client documentation and requests (i.e., routine inquiries from clients and insurers, quotes, broking summaries, binders, statement of values, endorsements, cancellations, bonding requests, cover notes, proposals, presentations, etc.).
  • Entering client information in Epic and ensuring client documentation is saved correctly in Epic or the shared drive.
  • Creating and following up on abeyances for outstanding items from clients, insurers, client executives and broking team.
  • Monthly Data clean up and Weekly Expiry reports, eDoc check and Past due Reports, Maintaining follow-up on activities in respect to any of the above.
  • Assisting with monthly or weekly audits to confirm transactions processed correctly.
  • Working closely with our clients to support and address their needs.
  • Be aware of emerging trends across EQUA’s specialties.
  • Following policies and procedures, including compliance, privacy and client security procedures, as set out on the Company Intranet and as amended from time to time.
  • Other duties may be required.

Requirements

  • Technical :

  • A minimum of three years' experience as a Client Service Representative within the commercial insurance industry.
  • Provincial license in good standing required (additional out-of-province licenses will be required upon notification).
  • RIBO license is an advantage.
  • Ability to develop and maintain knowledge of insurance company products and their underwriting rules.
  • Superior written and verbal communication skills.
  • Microsoft Office suite (Outlook, Word, Excel, PowerPoint) skills are required.
  • Knowledge of Applied Epic broker management system is an advantage.
