Client Services Representative

Key Responsibilities

Allandale Veterinary Hospital is seeking a caring, compassionate, and highly organized animal lover to join our fast-paced, skilled team of veterinary professionals. 1. Triage client concerns to ensure accurate appointment bookings.
2. Efficiently handle incoming phone calls, emails, texts, and faxes.
3. Accurately collect payments.
4. Book future appointments within the designated time frames.
5. Ensure daily reports and tasks are completed on time.
6. Admit patients for appointments, surgery, etc.
7. Weigh patients upon arrival for appointments.
8. Greet both clients and patients by name and provide assistance as needed while maintaining excellent service standards.
9. Counsel clients on basic nutrition, pre- and post-operative care, treatment instructions, etc.
10. Promote our goods and services to clients.
11. Address client concerns or questions, referring to the appropriate Veterinarian or Hospital Supervisor when necessary.
12. Accurately place medication and food orders.
13. Ensure smooth client and patient flow within the hospital.
14. Carry out cleaning duties according to the cleaning checklists.

The successful candidate will possess the following skills and abilities:

1. Strong ability to provide empathy, understanding, and emotional support to clients.
2. Calm, caring demeanor when interacting with patients.
3. Passion for working with all types of animals.
4. Detail-oriented with excellent organizational and multitasking skills.
5. Ability to work well in a team environment.
6. Excellent interpersonal communication (verbal and written), and telephone etiquette.
7. Ability to maintain confidentiality of sensitive information.

Required Qualifications

1. Minimum 2-3 years of experience as a Client Services Representative, preferably in the healthcare field (animal or human).
2. Proficiency with technology, including Microsoft Office, Google Chrome, and Outlook.
3. Flexibility to work various shifts, including evenings and weekends.

Desirable Qualifications (but not required; we are happy to train):

1. Previous experience (1+ year) in a veterinary hospital.
2. Familiarity with Cornerstone software.
3. General understanding of medical terminology.
