Location: Campbell River, BC

Organization: Upper Island Counselling

Hours: Part-Time (12-16 hours/week)

Compensation: Competitive hourly wage, commensurate with experience

Position Overview

We are seeking a warm, organized, and tech-savvyClient Services Coordinatorwith a keen eye for detail, to be the first point of contact for our clients. Your primary responsibility will be managing incoming phone calls and emails to schedule counselling sessions and provide information about our services, and greeting clients as they come in. You’ll play a vital role in ensuring clients feel supported and cared for from their very first interaction with UIC.

Key Responsibilities

  • Respond to phone and email inquiries with empathy and professionalism
  • Schedule and confirm counselling appointments for our team of counselling therapists using our booking system
  • Interact effectively with our client management software, activating new client intake files and deactivating inactive client files.
  • Communicate effectively with all staff, clients, and public inquiries.
  • Act in accordance with our mission statement, vision statements, and values statements.
  • Provide general administrative support to the Administrative Coordinator, Executive Director, and clinical team
  • Uphold client confidentiality and adhere to privacy policies

Qualifications

  • Excellent communication and interpersonal skills
  • Strong organizational and time-management abilities
  • Comfortable using email, phone systems, scheduling and client management software
  • Experience in a client-facing administrative role (preferably in a healthcare or nonprofit setting)
  • A calm, compassionate demeanor and a commitment to client care
  • Familiarity with trauma-informed practices is an asset
  • Familiarity with the region’s local services and resources an asset
