Program Overview
Newcomer Programs & Services has served newcomers and refugees in Toronto for over four decades. Its mandate is to help newcomers and refugees settle, adjust, and integrate into society. This position provides professional and welcoming reception services to clients who access programs and services of the unit and support the unit in clerical duties.
The position is required to fulfill the physical and psychological demands of the job as per the attached Position Demands Analysis.
What You Will Do
- Receives clients in person and/or by telephone at reception, and provides professional, respectful and welcoming client services.
- Answers online questions from clients in relation to reception (opening and closing hours etc.)
- Assists in client registration and appointment making.
- Assists in data entry and compiling statistics.
- Keeps accurate and confidential records, including client intake forms and related documents.
- Assists the team in clerical tasks, e.g. filing, faxing, photocopying, telephoning, emailing, distributing information/forms to clients, and room booking.
- Works with other Client Services Representatives to ensure ongoing coordination within the Unit.
- Respectfully collaborates and cooperates with other staff within the unit to ensure clients’ success and integration in programming.
- Participates as a member of the Newcomer Programs and Services in developing and implementing unit goals and objectives.
- Responsible for implementing all activities as per the annual work-plan developed together with the Manager within the stipulated timeframe.
- Engages in training and education to upgrade skills as directed by WoodGreen Community Services to fulfill the responsibilities of the position.
- Maintains all aspects of confidentiality relating to clients, volunteers, staff, community members, and community partners.
- Ensures the anti-racism objectives and community development principles of the organization are respected and followed.
- Participates in regular supervisory sessions with the Program Manager.
- Participates in regular staff and unit meetings.
- Performs other related duties as required from time to time.
What You Bring to the Team
- Secondary school diploma.
- 2-3 years of reception/clerical/customer service/office administration experience.
- Excellent interpersonal skills with a strong ability to cultivate relationships while maintaining confidentiality and exercising sound judgment.
- Must be able to work independently.
- Cross-cultural awareness.
- Proven proficiency in verbal and written communication skills and familiarity with digital tools such as Office 365 and Client Relationship Management (CRM) systems.
- Skilled in organization and multitasking; capable of meeting deadlines within collaborative team settings.

- Ability to handle crisis and seek appropriate support when required; CPI Nonviolent Crisis Intervention Certificate an asset.
- Passionate about facilitating newcomers' integration into Canadian society, with a keen enthusiasm for fostering welcoming and inclusive environments for clients.
- Second language(s) required.
