Job description

Supports one or more Investment Advisors (IAs), IA Team, staff, and branch operations with day-to-day administration while providing exceptional client service to support business objectives.

As this role contributes to the overall success of the Investment Advisors portfolio, you may be entitled to additional discretionary compensation.

Responsibilities
  1. Book meetings with new prospects and prepare introductory packages.
  2. Coordinate marketing activities including website, social media, client recognition, and client events.
  3. Schedule and prepare client portfolio reviews, including setting up calls and meetings.
  4. Follow up on client inquiries, account maintenance, and fund transfers.
  5. Resolve client complaints promptly and escalate when necessary.
  6. Execute client-initiated trades and provide stock information.
  7. Handle general client requests such as money movements, technology issues, and account updates.
  8. Generate reports and documents for IAs and clients, and process account items.
  9. Maintain and organize client databases and files.
  10. Monitor assets and notify IAs for rebalancing portfolios.
  11. Administer and process documentation to meet regulatory requirements.
  12. Regularly update client account documentation.
  13. Assign and ensure completion of transactions and tasks within the team.
  14. Mentor and coach new or junior team members.
  15. Support team technology use and handle escalations related to policies and procedures.
  16. Distribute updates on training, guidelines, and technology.
  17. Build rapport and confidence with clients to promote positive experiences.
  18. Follow risk and compliance policies to safeguard assets and maintain privacy.
  19. Protect assets and ensure legal and ethical compliance.
  20. Maintain confidentiality of client and bank information.
  21. Handle complex tasks and escalations, analyze issues, and determine next steps.
  22. Perform additional duties as assigned.
Qualifications
  • 3-5 years of relevant experience or equivalent education.
  • Completion of the Canadian Securities Course & Conduct and Practices Handbook.
  • Current registration as Investment Representative (IR) preferred.
  • Strong knowledge of investment processes, administrative procedures, and compliance.
  • Knowledge of insurance, trust, estate services, and financial planning is an asset.
  • Ability to communicate effectively, organize, collaborate, and solve problems.
  • 10 CO credits/Compliance training over 2 years for IIROC CE requirements.
Salary and Benefits

$33,400.00 - $61,700.00, with potential for performance-based incentives, bonuses, and benefits including health insurance, tuition reimbursement, and retirement plans. For more details, visit Total Rewards.
