Fraser Health is hiring a Clerk/Secretary to support patient flow in outpatient services. You will perform reception, booking outpatient appointments, form completion, and data entry, ensuring accurate records and smooth clinic operation.

Grade 12 plus two years' related experience preferred, with strong communication, organization, and attention to detail. This role supports clinical services in a busy health care environment.

Qualifikationen

  • Grade 12 education with two years of related experience or equivalent.
  • Typing speed around 45 wpm and knowledge of medical terminology.
  • Strong written and verbal communication and solid organizational skills.

Aufgaben

  • Greet patients and visitors; answer calls and direct inquiries.
  • Book outpatient appointments and adjust follow-ups per requirements.
  • Maintain patient records and compile registration data.
  • Sort and distribute mail and internal documents.
  • Type memos, forms and procedures.
  • Maintain departmental records and prepare reports.
  • Keep filing systems organized and updated.
  • Prepare records for program operations and forward for approval.
  • Arrange meetings, rooms and equipment; confirm attendees.
  • Monitor stationery and order supplies; handle equipment service requests.
  • Perform related duties as needed.

The salary range for this position is CAD $28.74 - $28.74 / hour

Detailed Overview

Reporting to the Manager, Clinical Services, the Clerk/Secretary performs clerical duties which includes booking outpatient appointments, completing forms, and compiling information; performs secretarial and receptionist duties such as keyboarding, filing and answering the telephone.

Responsibilities
  1. Performs receptionist duties such as receiving patients and visitors, answering the telephone, directing calls and recording messages, responding to general inquiries by providing information and directing to appropriate areas as required.
  2. Books outpatient appointments by receiving appointment requests, making follow-up appointments and adjusting arrangements in accordance with patient and facility requirements.
  3. Maintains patient records for department, requests files from medical records, collects and processes patient registration data as per departmental requirements, prepares charts for appointments.
  4. Collects, sorts and distributes incoming and outgoing mail, faxes, internal correspondence and courier documents.
  5. Types a variety of material including correspondence, memos, forms and procedures.
  6. Maintains departmental records, compiles information, prepares statistics into report format and forwards to appropriate parties.
  7. Maintains filing systems by performing duties such as indexing, labeling and filling appropriately.
  8. Prepares and maintains records related to program operation, following established procedure; forwards to the manager for approval and submits for processing.
  9. Arranges meetings as directed including booking rooms and equipment, confirming attendees.
  10. Maintains stationery and supply levels by monitoring stock, completing requisition forms for the Manager’s signature, processing requisitions, checking incoming orders and following up on concerns.
  11. Arranges for servicing of office equipment as appropriate, by placing telephone request to servicing company.
  12. Performs other related duties as required.
Qualifications
Education and Experience

Grade 12 and two (2) years' recent related experience or an equivalent combination of education, training and experience.

Skills and Abilities
  • Ability to keyboard at 45 w.p.m.
  • Knowledge of medical terminology.
  • Ability to communicate effectively both verbally and in writing.
  • Ability to deal effectively with others.
  • Ability to organize work.
  • Ability to operate related equipment.
  • Physical ability to perform the duties of the position.
