Responsibilities

  • Screens incoming materials and calls and prioritizes requests for the Adolescent Crisis Response Program staff.
  • Coordinates workflow by gathering information and directing referrals to staff according to program criteria.
  • Types documents, transcribes notes, and drafts routine correspondence as directed.
  • Performs receptionist duties including answering calls and relaying messages.
  • Responds to general inquiries about the program and provides information on community resources.
  • Maintains and compiles statistical reports of departmental activities.
  • Schedules appointments and meetings, books rooms, and records minutes of meetings.
  • Attends meetings and prepares information related to agendas.
  • Maintains filing systems for patient records and correspondence.
  • Maintains inventory and processes purchase requests for the Clinical Coordinator.
  • Performs timekeeping duties and submits to payroll.
  • Performs other related duties as assigned.

The salary range for this position is CAD $32.39 - $32.39 / hour

Detailed Overview

Under the general supervision of the Clinical Coordinator, Adolescent Crisis Response Program, performs a variety of secretarial and administrative duties.

Responsibilities
  1. Screens incoming materials and calls andprioritizesbased on urgency and nature of the requestfor the attention of the Adolescent Crisis Response Program staff.
  2. Coordinates the work flow within the program by gathering and compilinginformation, organizing and recommending administrative procedures for the program, and directing referrals to appropriate and available staff according to program criteria.
  3. Types a variety of documentssuch as reports, evaluations, consultations and correspondence from written drafts, revisions or dictating machines; transcribes file notes. Composes and signs routine correspondence as directed and/or drafts correspondence for review and signature.
  4. Performs receptionist duties including answering the telephone, taking and relaying messages, and redirecting calls to appropriate resources.
  5. Responds to general inquiries about the Adolescent Crisis Response Program. Provides information to patients/families regarding available resources in the community/hospital.
  6. Maintains and compiles statistical reports ondepartmental activities.
  7. Schedules appointments and meetings as directed. Books meetings rooms, types and circulates notices and agenda. Records minutes of meetings; transcribes and distributes same. Maintains appointmentcalendars for program staff.
  8. Attends various meetings including program team meetings and other interdepartmental meetings as required; prepares and provides information related to meeting agendas.
  9. Sets up and maintains filing systems forfiles such as patient records and correspondence.
  10. Maintains inventory of supplies and office equipment; prepares purchase requisitions, receives and processes payment requests, for the signature of the Clinical Coordinator.
  11. Performs timekeeping duties by maintaining timekeeping records for staff and submitting to payroll.
  12. Performs other related duties as assigned.
Qualifications
Education and Experience

Grade 12, graduation from a recognized secretarial program, supplemented by recognized courses in medical terminology plus three years of recent, related experience or an equivalent combination of education, training and experience.

  • Ability to type at 60 wpm.
  • Ability to communicate effectively, both verbally and in writing.
