The Law Society of BC is seeking a temporary, full-time Clerk in the Registration & Licensee Services department in Vancouver. You will process mail, maintain records, perform basic data entry for non-online applications, and assist the Director as needed to support department operations, especially during peak times.

Qualifications

Job description

The Law Society of BC is seeking a temporary, full-time Clerk in our Registration & Licensee Services (RLS) department. Reporting to the Director, Registration & Licensee Services, the Clerk provides support for efficient department operations by processing incoming and outgoing mail, maintaining paper and electronic records, performing basic data entry for applications that are not yet available online as well as other documents received by mail, and assisting with related duties or other tasks assigned by the Director as required. The work performed by the Clerk will assist in organizing the flow of work for the processing Analysts in their assigned areas especially during peak times.

The duties of this position include:

  • Sort and distribute incoming mail and prepare outgoing mail.
  • Sort, scan, save, and file documents in accordance with established procedures.
  • Create and maintain applicant profiles in the database in accordance with established procedures.
  • Perform data entry and conduct initial screening of applications and related documents upon receipt in accordance with established priorities and procedures.
  • Verify accuracy and integrity of data by comparing it to source documents.
  • Send acknowledgement emails and other standard correspondence to applicants and third parties in accordance with established procedures.
  • Notify relevant team members when documents related to their areas responsible are received.
  • Process Certificate of Authentications and Order in Council (OIC) Forms in accordance with established procedures and requirements.
  • Deposit cheques in accordance with established procedures.
  • Perform other clerical and administrative duties as assigned by the Director.

Qualifications

  • Post-secondary education is preferred or an equivalent combination of education and experience.
  • Previous work experience in an office setting an asset.
  • Previous experience in data entry and records management system is an asset.
  • Experience in Microsoft Office (Word, Excel, Outlook).
  • Able to type at a minimum speed of 45 words per minute.
  • Attention to detail and a high level of accuracy.
  • Ability to organize and set work priorities.
  • Demonstrate a high level of initiative, time management and organizational ability.
  • Excellent communication skills, both written and verbal.
  • Ability to work both independently and as a team member.
  • Ability to maintain a calm demeanor during busy or stressful times.
  • Ability to exercise good judgment in recognizing scope of authority and protecting confidential information is a must.

The salary range for this position is $53,702 to $58,372.
