Clerical Assistant - Outpatient Services - Regular part-time 2024-10774 (2024-10774)

The Clerical Assistant is responsible for providing administrative support to Outpatient Services, including Marketed Services (MVC, WSIB), Wellness Clinics, and Ministry-funded Ambulatory Care Services. This role supports the outpatient care team, third-party payers, and external referring partners.

Summary of Duties
  1. Schedule initial and treatment services, communicating with internal and external team members, including WSIB and insurance adjusters.
  2. Schedule Independent Evaluation assessments in accordance with legislation standards.
  3. Prepare, edit, and format WSIB reports monthly.
  4. Coordinate clinics (physiatry, amputee, plastics), assessments, follow-ups, and team/client conferences.
  5. Prepare new client charts and enter data into patient management systems (Electronic Patient Record-ADT, databases).
  6. Draft, edit, and format correspondence and reports; create and modify forms.
  7. Review new client orientation packages and conduct intake sessions.
  8. Facilitate follow-up of clinic recommendations (e.g., fax prescriptions).
  9. Perform medical transcription and billing for WSIB physician clinics.
  10. Maintain ongoing customer service and liaison with WSIB, insurance adjusters, rehabilitation consultants, and clients.
  11. Participate in cross-training activities supporting administrative services across Outpatient Services.
  12. Contribute to quality improvement by developing administrative and client-care procedures.
Qualifications and Skills
  • Post-secondary diploma required; medical terminology course preferred.
  • At least three years of administrative experience, preferably in healthcare or insurance.
  • Experience with insurance processes (e.g., OCF 18 submissions, IME organization) required.
  • Intermediate to advanced skills in Outlook, Word, Excel, and familiarity with systems like HCAI.
  • Keyboarding speed of 40 w.p.m. or 106 keystrokes per minute.
  • Ability to work independently and under pressure in a demanding environment.
  • Strong teamwork, organization, accuracy, and attention to detail.
  • Excellent customer service, interpersonal, verbal, and written communication skills.
