Change Management Specialist - Special Project (August 2025 - December 2027)

Status: Special Project (August 2025 - December 2027)

Hours: Monday - Friday, 35 hours/week

Home Campus: Fennell (hybrid work arrangements available)

Rate of Pay: Payband 10 ($87,239 - $109,049 per year, plus 4% in lieu of vacation)

**As of September 1, 2025 employees will receive 22 vacation days per year.

Job Summary

Mohawk College is undertaking a major digital transformation through the Banner Business Transformation Project, reimagining our Enterprise Resource Planning (ERP) system, Banner and related processes, to enhance the student, faculty, and staff experience.

The Change Management Specialist will serve as a critical partner in enabling the people side of this transformation. Reporting to the Change Manager, the Specialist will work closely with the broader Change Management team, project sponsors, workstream leads, subject matter experts, and employees impacted by the change. The role focuses on driving adoption, building change capability across the organization, and minimizing resistance to change.

Leveraging the Prosci methodology, including the ADKAR model, the Specialist will support the development and execution of structured change management plans and deliverables across the project life cycle. This includes stakeholder engagement, change impact analysis, planning communication and training roll out, change readiness activities, and post-go-live reinforcement. The incumbent will also contribute to creating a change-resilient culture by supporting change champions, developing compelling communications, and gathering feedback to inform continuous improvement.

This role demands a high level of interpersonal skills, professionalism, critical thinking, and initiative. The ideal candidate has a strong foundation in change management principles and is capable of managing multiple priorities in a dynamic project environment. Strong relationship-building skills, the ability to navigate ambiguity, and a collaborative mindset are essential for success.

What you'll be doing:

Support Change Strategy Development and Execution

  • Apply the Prosci Change Management Methodology and ADKAR model to support the BBT project and ensure the adoption of new systems, processes, and roles.
  • Assist in planning and executing change management activities across all phases of the project lifecycle.
  • Coordinate change management activities across workstreams to ensure change efforts are integrated with project timelines and aligned with project teams, stakeholders, and sponsors.
  • Contribute to the development of change management deliverables, including stakeholder maps, communication plans, change readiness tools, and training plans.
  • Conduct or support change impact assessments, risk assessments, and readiness assessments to identify gaps and inform strategy.

Awareness and Relationship Management

  • Cultivate relationships with change champions and stakeholders to build momentum and engagement.
  • Draft and deliver audience-specific communications using appropriate channels.
  • Maintain change resources on the BBT SharePoint site.
  • Plan and support roadshows, workshops, readiness events, and Q&A sessions.
  • Coach and support leaders and managers in helping their teams navigate change.

Coordinate Training and End-User Support

  • Collaborate with the Training and Communications Specialist and Instructional Designers to align training plans with change needs and project timelines.
  • Assist in crafting messaging that builds awareness and desire ahead of training rollout.
  • Provide post-implementation support, including coaching activities, reinforcement plans, and continuous improvement feedback loops.

Assessments, Analysis and Evaluation

  • Conduct change readiness, risk, and needs assessments; gather data, summarize findings, and provide input into recommendations.
  • Identify change impacts, affected groups, and required skill sets; support the analysis of gaps between current and future states.
  • Track potential risks and resistance points and support the development of mitigation strategies.
  • Contribute to the design and monitoring of tools to track adoption, usage, and proficiency related to system and process changes to inform decision-making.
  • Assist in gathering and analyzing feedback to evaluate the effectiveness of communication, training, and change reinforcement strategies.
  • Document lessons learned and support continuous improvement of change initiatives.

What you'll bring to the role:

  • A 4-year Bachelor's degree in a related field (Business Administration, Management, Educational Administration, Communication Technology, Human Resources, Organization Development, Change Management) or any other related field; or equivalent combination of education and experience.
  • Certified change management practitioner in ADKAR, Prosci certification is required.
  • Minimum 5 years change management experience with major business or digital transformations.
  • Demonstrated experience with project and change management methodologies (e.g., Prosci/ADKAR), tools, and the full project lifecycle.
  • Previous experience in a client-management role, ability to collaborate and maintain effective working relationships with employees at all levels.
  • Exceptional written and verbal communication skills, with experience developing professional reports, emails, newsletters, memos, and web content tailored to diverse audiences.
  • Proven ability to build and maintain positive, collaborative relationships at all organizational levels; able to influence others and align stakeholders toward a common goal.
  • Strong interpersonal skills including active listening, diplomacy, tact, and the ability to handle sensitive information with discretion.
  • Highly organized, flexible, and resilient-capable of adapting to shifting priorities and working in ambiguous or fast-paced environments.
  • Strong problem-solving and root cause identification skills; forward-thinking with a holistic, systems-oriented perspective.
  • Sound judgment, ethical conduct, and a high degree of integrity; receptive to feedback and committed to continuous improvement.
  • Proficient in Microsoft Office 365 applications (Outlook, Word, Excel, PowerPoint, Teams, SharePoint) and digital collaboration tools.
  • Demonstrated learning agility, teamwork, and the ability to pivot between tasks effectively while supporting business outcomes.
  • Skilled in managing multiple priorities and meeting tight deadlines without compromising quality.
  • Demonstrated commitment and understanding of human rights, equity, diversity, inclusion, and accessibility.
  • The ability to communicate and work effectively with diverse students, employees, and communities.
