About The Role

As the Change Management & Documentation Coordinator, you’ll play a key role in shaping how the organization manages critical information and navigates change. This dynamic position combines strategic oversight and hands-on coordination to strengthen our document control systems and ensure smooth implementation of change across all operations. Collaborating closely with site leadership and cross-functional teams, you’ll help maintain compliance, reduce risk, and drive operational excellence, all while contributing to the continuous improvement of our management systems in alignment with industry standards.

Responsibilities

  1. Documentation Governance & Strategy
  2. Coordinate and lead the ongoing functioning of a Documentation Governance Steering Committee (DGSC) to oversee strategic direction and ensure consistency in document management practices across the Company.
  3. Develop and maintain a company-wide documentation governance framework, including standards, policies, and procedures, with guidance from the DGSC.
  4. Identify, implement, and maintain a fit-for-purpose document management system that ensures secure, accessible, and controlled documentation across all functions and sites.
  5. Oversee the complete document lifecycle, including creation, review, approval, distribution, storage, and archival or destruction, ensuring documents remain current and controlled.
  1. Management of Change (MOC) Implementation
  2. Develop and maintain a Management of Change (MOC) process and system integrated with the company’s document control system to ensure all operational, technical, or organizational changes are reviewed, approved, and documented before implementation.
  3. Ensure changes to critical documents—such as procedures, manuals, and standards—trigger appropriate MOC workflows with assigned responsibilities, risk assessments, and approvals.
  4. Provide training on the MOC process to supervisors and document owners to promote consistency and compliance across the organization.
  5. Support change management processes by ensuring proper version control and traceability of documentation related to operational and environmental changes.
  1. Cross-Functional Collaboration
  2. Collaborate with operational teams to track and document all changes that may affect safety, environmental compliance, and production reliability.
  3. Facilitate engagement with frontline and second-line supervisors to ensure procedures are practical, accurate, and aligned with operational needs.
  4. Work closely with the Sustainability and Environment team to ensure documentation policies and practices meet regulatory requirements and industry standards, including Towards Sustainable Mining (TSM) protocols.
  1. Risk & Compliance Oversight
  2. Facilitate risk assessment sessions with site operations to identify gaps in documentation and develop risk-based action plans.
  3. Conduct documentation audits in collaboration with department heads to identify compliance gaps and develop roadmaps to reach and maintain compliance.

  2. Provide training sessions on document control policies, processes, tools, and responsibilities.
  3. Act as a key contact for compliance-related queries, offering guidance to ensure documentation discipline and organizational alignment.

Qualifications – Education, Experience, Certifications

  • A recognized post-secondary degree.
  • Understanding of compliance documentation, including document management software, related to health, safety, environmental, and sustainability programs.
  • Knowledge of Management of Change (MOC) processes and experience supporting MOC programs in industrial or mining settings.
  • Experience integrating MOC workflows into document control systems or management system frameworks.
  • Experience in the mining industry, with underground mines experience as an asset.
  • Experience with Towards Sustainable Mining or other industry sustainability standards is an asset.

Location

Remote work from home with travel to sites and Toronto head office.

Travel Requirement

Travel between mine sites and Toronto approximately 25-50%, with frequent travel expected initially.
